Frequently Asked Questions about Cover Letter Templates

What is a cover letter for a resume.

A cover letter for a resume is a document attached to your job application that will support your resume, by explaining your motivation and providing more details about the past jobs and skills that are listed on your resume. It is strongly advised to use a cover letter template matching your resume template for an optimal application. Get a professional resume template here , to go with your cover letter. Note that a cover letter for a resume can also work for a CV – here's a selection of professional CV templates (and here's the difference between a resume and a CV ).

What is the best cover letter template in 2023?

All our covering letter templates are equally adapted to modern HR trends and will appeal to recruiters. The best cover letter template is one that will allow you to write your personal details and list your strongest skills, while looking professional and simple . To pick the best cover letter template, focus on what will look perfect based on your industry, experience level, and preferences. Here's more on what a cover letter should look like in 2023.

How to format a cover letter?

While formatting a cover letter is not as complicated as finding the best resume format , you still need to follow the expected cover letter etiquette . Typically, cover letters are formatted with a lot of empty space on the page (double spaces between paragraphs), left-aligned text, and sufficient margins. For more tips, read our guide on how to format a cover letter the right way .

Do I really need a cover letter for a job in 2023?

Although resumes can be sent without a covering letter, every recruiter prefers receiving one, to have more options and details . Cover letters are not always necessary and read , but they are a serious advantage in case other candidates didn't send one.Besides, a professional cover letter shows your motivation, and allows you to say more about your projects and abilities.By sending a cover letter with your resume in 2023, you gain the lead over your competitors.

What to include in my cover letter?

A cover letter is made of several parts . The main ones are the cover letter header and the body . In the cover letter header, list the following information:

In the cover letter body, here's what should be available:

Those lists are not exhaustive; you can add more information for a better chance of success, such as your title or a post-scriptum. Read more about all the important things to include in a cover letter here .

How long should a cover letter be?

A cover letter should be one-page long , on a single-page cover letter template, and composed of around 4 paragraphs, along with contact information in the header. 400 words is a good limit, as more could mean no recruiter will read your document, and not enough will not make it seem worth the attempt. Depending on your experience, industry, and circumstances, the amount of information to write can vary. We encourage you to read our post on the ideal cover letter length in 2023 .

Do I need a unique cover letter for every job?

While writing a different cover letter for each job may sound tedious, it is a necessary step to increase your chances of being hired . A cover letter is impactful only when it is not generic, and when it surprises the recruiters with important and interesting details about you and your reasons to apply. Each cover letter must therefore be unique . However, you can save precious time by using our online cover letter builder , which allows you to duplicate, modify, save, and download your cover letters with just a few clicks. Besides, it offers pre-written content that you can use to write different application letters in no time.

Should I use a PDF or a Word cover letter template?

Just like your resume should be sent in PDF format , it is best to download your cover letter in PDF, too. The PDF format allows your cover letter layout to remain unchanged, whatever the device used by recruiters. Our cover letter templates all match our resume templates, and can be exported in Docx (Word), for you to modify them later, or in PDF for you to send them immediately.

Can I email my cover letter instead of sending a cover letter template?

For job offers that don't request a cover letter, and when you don't have time to write one, you can write a short cover letter directly in your email's body .Before choosing that option, we'd like to point out that our online cover letter application can generate a cover letter template with pre-written content for you, making the process faster and easier. If you still prefer to send a letter in text form rather than a cover letter template, here are all our tips on how to email a cover letter successfully.

How to make a cover letter with no experience?

But it is in those cases that your cover letter is even more important. Entry-level candidates can't rely on experience, and must therefore make the most of their soft skills , projects and original ideas. [Your Name] [Street Address] [City and Zip Code] [Your Phone Number]

[Today’s Date]

[Addressee’s/Hiring Manager’s Name] [Job Title] [Organization/Company Name] [Street Address] [City and Zip Code]

Dear [Name],

Opening paragraph: State who you are, say where you found the job listing, and explain why you’re interested in the position.

Body paragraphs: Give an overview of your previous job experience, skills, qualifications, and accomplishments. Don’t repeat your resume. Explain what makes you a unique candidate and how you can help the company meet its goals. Use numbers to back up your claims.

Closing paragraph: State that you’d like to schedule an interview and provide your contact information. Say you’ll be in touch within a week if you don’t hear back. Finish by thanking the employer for their time and consideration.

Warm regards,

[Your Name]

Make sure you include all the sections in your cover letter sample and write detailed body paragraphs about your expertise. Hiring managers often read your cover letter before your resume, so it’s important to sell yourself and your skills.

What is a Cover Letter?

How to write a cover letter, cover letter examples and templates, basic cover letters to apply for a job, email cover letter examples, cover letters with a referral, examples listed by type of applicant, cover letters listed by occupation, applying for a transfer or promotion, inquiry and networking letters.

Do you need to write a cover letter? A cover letter should be sent or posted with your resume or curriculum vitae when applying for a job, so it's essential to write a good one. Your cover letter is an opportunity to show the employer how you're an excellent match for a position.

Learn about writing a cover letter, including what to include, how to send it, review examples, and get free templates to download for many different types of occupations and applications. There are also guidelines and samples for writing email cover letters, inquiry letters, referral letters, prospecting letters, and networking letters.

A cover letter is a (typically) one-page document that explains to the hiring manager why you are an ideal candidate for the job. It goes beyond your resume to explain in detail how you could add value to the company.

A cover letter is a document that you send or upload with your resume when applying for jobs to provide additional information on your skills and experience.

A cover letter may be required by an employer, optional, or not needed as part of a job application. The requirements should be listed in the job posting.

Keep in mind that your cover letter doesn't have to be boring. Taking some time to showcase your personality and how it will be an asset to the employer can help your application get noticed. Follow these tips on how to write an effective cover letter .

Tailor each letter to the job.  It takes a little extra time, but be sure to write a unique cover letter for each job. Your cover letter should be specific to the position you are applying for,  relating your skills and experiences  to those noted in the job posting.

Use keywords.  One useful way to tailor your letter to the job is to use  keywords  from the job posting. Circle any words from the job posting that seem critical to the job, such as specific skills or qualifications. Try to use some of these words in your letter. This way, at a glance, the employer can see that you match the requirements of the job.

Explain how you will add value.  Think of concrete ways to prove you will add value to the company. Include examples of specific accomplishments from previous jobs. For example, if you helped reduce turnover by 10% at your last company, or implemented a filing strategy that reduced file errors by 15%, include this information.

Try to quantify your successes when possible to clearly demonstrate how you could add value to the company.

Carefully edit your letter. Your cover letter is your first, and best, chance to sell the  hiring manager  on your candidacy for employment, so make sure it's perfect. Read through your letter, proofreading it for any spelling or grammar errors. Ask a friend, family member, or  career counselor  to read it as well. You want to make sure the letter is polished before submitting it.

It can be beneficial to look at cover letter examples when writing your own. A sample can help you decide what to include in your letter, and show you how to format it.

This collection of free, professionally written cover letters will help you get started writing your own letters.

Below you'll find both hard copy and email samples and templates, for a variety of different types of employment inquiries and job applications, including general cover letters, cold contact cover letters, referral letters, customized cover letters, job promotion letters, networking outreach letters, and letters to inquire about unadvertised openings.

Applying for a new job can be both exciting and nerve-wracking at the same time. However, writing a cover letter that really “sells” the qualities you have to offer an employer is a great confidence-builder—you’ll know your letter is perfect when you read it and think, “Hey—I’d interview me!” Here are some examples of effective cover letters, with downloadable templates.

While cover letters that are emailed do not have as conservative a format as traditional “snail mail” cover letters, there is still a specific structure one should observe when drafting and sending them. Here’s how to make sure your email cover letter gets read.

One of the best ways to “get your foot in the door” at a company you would love to work for is to mention a professional connection to one of their current personnel. Here’s how to ask someone to serve as a referral for you and how to drop their name in your cover letter.

The ideal content and format of a cover letter depend both upon the type of position you are applying for and your relevant experience.

The cover letter of a seasoned professional will emphasize experience, whereas that of a recent college graduate is best focused upon training and potential.

Similarly, a cover letter for a sales position will use more aggressive marketing language than one designed for a social work role. The following cover letter samples are for candidates who are applying for a specific type or level of position.

Here's a list of cover letter samples and downloadable templates listed by industry and position. Choose one that's a match for the jobs you're applying for, then tweak it to include your most relevant skills and experience.

When you’ve worked for an employer for a while and know, through both your own impressions and strong performance reviews, that they value your work, it may be time to ask for a promotion or a transfer to a better position. Be proactive—companies don’t always have upward career tracks, and may not automatically award a promotion unless this is requested.

Applying to officially advertised positions isn’t the only way to land your dream job. Often opportunities can be discovered through strategic networking; more than one person has been offered a position because they made their availability and interest known to employers who were not actively hiring.

July 20, 2020

Jane Smith Director, Human Resources Fit Living 123 Business Rd. Business City, NY 54321

Dear Ms. Smith:

I’m writing to apply for the position of Social Media Manager for Fit Living, as advertised on your website careers page. I have three years of experience as a Social Media Assistant for Young Living, and I believe I am ready to move up to the manager position.

In your job posting, you mention that you want to hire a Social Media Manager who understands the Internet and social media trends. During my time at Young Living, I was given the responsibility of increasing follower numbers on Instagram. I explained to my manager that I would be happy to do so and that I would also work hard to increase follower participation because engagement has become an important metric.

Within six months, I increased our followers by over 50% and increased engagement by 400%. I’m very proud of that accomplishment. Currently, I’m working to build a following with the best influencers in our niche.

When I saw the job opening, I knew it was the perfect opportunity to offer you both my social media marketing skills and people skills. I’ve included my resume so you can learn more about my educational background and all of my work experience. Thank you for your time and consideration.

Please feel free to email me at josephq@email.com or call my cell phone at 555-555-5555. I hope to hear from you soon.

How to use a cover letter template

Template Cl Mob

Choose a cover letter template that highlights your unique qualities.

A cover letter is an extension of your resume. It’s your chance to present yourself to the employer properly and explain why your skills and experience suit the job. Your cover letter design template should answer four significant points:

Show your passion and interest in the company.

Use our professional cover letter templates to explain what inspires you about your potential employer. It could be the company’s mission, a new initiative it’s undertaking, or how you can contribute to company goals over the long term. Show the hiring manager you’ve already invested time researching your potential employer, and they’ll be more likely to invest in you.

Match your skills and experiences to the job’s requirements with a suitable cover letter template.

Respond directly to duties and skills listed in the job description, and show your capabilities in those areas through concrete examples from your own experience and training. You can also point out a challenge the company is currently facing and how you can help solve it, similar to what our cover letter templates showcase.

Encourage the hiring manager to learn more about you.

Your cover letter should give hiring managers an incentive to read your resume and follow up for an interview. Be forthright. Recommend that the reader examine your resume for more details on your relevant skills and accomplishments. Conclude by expressing your readiness to meet and discuss how you can contribute. If you’re unsure how to do this, you can review our expertly written application letter templates and examples.

Avoid repeating information from your resume.

While your resume and cover letter template must be similar, they shouldn’t reiterate the same information. Review your resume and note what you want to explain further in your cover letter; it could be a set of skills, a work achievement relevant to the job you’re applying for, or a project that you know will help you stand out. A free downloadable cover letter template from this page will help you tell your story so that you get noticed.

Tailor your cover letter template to the job.

Whether a resume or cover letter, tailoring your document to the job is critical. This includes using keywords from the job description in your writing, using a tone of voice that reflects the company culture and addressing the letter to the hiring manager and not “To whom it may concern.” A cover letter Word template or Apple Pages cover letter template is easy to customize.

Match your resume and cover letter template

A cover letter and resume template match is crucial for a polished job application. After all, cover letters and resumes are strong when they both read and look their best. Luckily for you, we have all the tools and guides you need to build the perfect resume for your cover letter.

Cover letter template FAQ

What is a cover letter.

A cover letter is a one-page document you submit alongside your resume or CV . Its purpose is to support the content of your resume by expanding on those achievements, showing your personality and explaining why you’d be a great asset to the company. Even though a cover letter has a supporting role in the application process, it’s no less critical and could potentially decide whether you get hired.

Are cover letters necessary?

Yes. A recent survey found that 83% of hiring managers, recruiters and HR staff consider cover letters essential to the decision-making process. We always recommend writing a cover letter because:

How do you write a strong cover letter?

With some dedication, you can write a cover letter for your resume in just 15 minutes — and we’re here to help you.

A successful cover letter should fulfill two aims: It should be formatted neatly for easy reading, and the content should catch hiring managers’ attention. To achieve the first goal, use a cover letter sample template as a model, and keep your letter to the point and one-page long.

To ensure your content fits the bill, consult the job description and pinpoint essential keywords that you should mention in your letter. For example, if you’re applying to a customer service position that stresses knowledge of customer relations management (CRM) systems, mention your experience with CRM in your cover letter. Doing so will also help your letter pass automated applicant tracking systems (ATS), which many employers use to scan cover letters for the right keywords.

Finally, your cover letter should answer the most critical question: Why are you interested in the job and the company? Explain why you think you can succeed in the position and believe you’re a good fit. Employers will be impressed by a cover letter that shows you’ve done your homework and thought about how you can contribute. Download a free professional cover letter template and get started today!

What do employers look for in a cover letter?

A cover letter is a blank canvas where you can formally introduce yourself to the hiring manager — think of it as your sales pitch. Generally speaking, the hiring manager wants to know more about your skills and background, why you want to work for them and how you will help them. Still, this approach may differ depending on your professional experience.

For example, hiring managers will want to know why you have a career gap in your resume if you have one. If you ventured into running a small business or were affected by COVID-19, you’d want to explain what happened and show how your past experiences will help you fill this new role, as our cover letter templates and examples show.

Is it OK to use a cover letter builder?

It’s not just OK to use a cover letter builder but encouraged! Our Cover Letter Builder makes the writing process a breeze by providing over 15 cover letter templates, expert suggestions, step-by-step guidance and customization tools to create and save as many versions of your cover letter as you want. It’s the easiest way to put together a professional cover letter for your resume, and all you have to do to get started is choose the downloadable cover letter template that best works for you.

How long should a cover letter be?

A cover letter should be one page long. The recruiter or hiring manager won’t spend that much time reviewing your application, so your writing must be concise and straightforward. A work cover letter template from this page can help you keep your cover letter organized on one page.

How do you start a cover letter if you don’t know the name?

If you don’t know who to address your cover letter to, here are some options to try:

Avoid starting your cover letter with greetings such as “To whom it may concern” or “Dear sir or madam” — it’s old-fashioned. A cover letter template sample from this page can point you in the right direction.

What is a Cover Letter?

A cover letter is a one-page document that you submit as part of your job application, alongside your resume .

Its purpose is to introduce you and briefly summarize your professional background. On average, your cover letter should be from 250 to 400 words long .

A good cover letter can give the hiring manager more insight into what makes you a good candidate and help them make up their mind about whether they should invite you for an interview. A bad cover letter, though, will get ignored (at best) and lose you the job (at worst).

So, to make sure this doesn’t happen, it’s essential to know how to write a convincing cover letter.

The first thing to remember is that a cover letter is a supplement to your resume, not a replacement. Meaning, you shouldn’t just repeat whatever is mentioned in your resume and call it a day.

Optimally, you should use your cover letter to shed more light on your skills and qualifications, as well as explain anything you didn’t have space for in your resume (e.g. a career gap or why you’re changing careers).

If you’re writing a cover letter for the first time, though, putting all this together might seem pretty tough.

Fortunately, you can follow our tried-and-tested format to make the experience much easier:

Here’s what this looks like in practice:

cover letter structure

9 Tips to Write a Cover Letter (the Right Way)

Now that we've covered the basics, let's talk about cover letter tips . Below, we'll give you all the knowledge you need to take your cover letter from "OK" to "great."

#1. Pick the right template

A good cover letter is all about leaving the right first impression.

And what’s a better way to leave a good impression than through a professional, well-formatted, and visual template?

You can simply pick one of our tried-and-tested cover letter templates and you’ll be all set!

cover letter examples templates

#2. Add your contact details on the header

The best way to start your cover letter is through a header.

Here’s what you want to include there:

Optionally, you can also include the following:

#3. Greet the hiring manager the right way

Once you’ve listed all your relevant contact information, it’s time to address the hiring manager reading your cover letter.

A good practice here is to find the hiring manager’s name and address them directly instead of using the traditional “dear sir or madam.” This shows that you’re really invested in the company and that you took your time to do some research about the job.

So, how can you find out the hiring manager’s name?

One way to do this is by looking up the head of the company’s relevant department on LinkedIn. Let’s say you’re applying for the position of Communication Specialist at Novoresume. The hiring manager is probably the Head of Communications or the Chief Communications Office.

Or let’s say you’re applying for the position of server at a restaurant. In that case, you’d be looking to find out who the restaurant manager is.

If this doesn’t work, you can also check out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

If you still can’t find out the hiring manager’s name, here are several other greetings you can use:

#4. Create an attention-grabbing introduction

Recruiters get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The problem with most cover letter opening paragraphs, though, is that they’re usually extremely generic, often looking something like this:

Hey, my name is Jonathan and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a sales manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

As you can probably tell, this opening paragraph doesn’t tell the hiring manager anything other than that you’ve worked the job before - and that’s not really helpful in setting you apart from other candidates.

What you want to do, instead, is start off with 2-3 of your top achievements to really grab the reader’s attention. Preferably, the achievements should be as relevant as possible to the position.

For example:

My name’s Michael and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked with Company X, a fin-tech company, for 3+ years. As a Sales Representative, I generated an average of $30,000+ in sales per month (beating the KPIs by around 40%). I believe that my previous industry experience, as well as my excellence in sales, makes me the right candidate for the role of X at Company Y.

The second example shows how the candidate is a top performer. The first just shows that they’ve worked a sales job before.

Which one are YOU more likely to invite for an interview?

#5. Show you’re the perfect person for the job

One great thing about cover letters is that they allow you to expand more on the top achievements from your resume and really show the hiring manager that you’re the right person for the job.

A good way to do that is to first read the job ad and really understand what skills/experiences are required, and then to ensure that your cover letter touches upon the said skills or experiences.

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $20,000+. As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. This means I created the ad copy and images, as well as picked the targeting, ran optimization trials, and so on.

Other than Facebook advertising, I’ve also delved into other online PPC channels, including:

#6. Explain why you’re a great company fit

The HR manager doesn’t only look at whether you’ll be good at the job or not. They’re looking for someone that’s also a good fit for the company culture.

After all, employees that don’t fit in are bound to quit, sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary .

To convince the hiring manager that you’re a great company fit, do some research on the company and find out what it is you like about them, or about working there. You want to know things like:

Then, turn your top reasons for liking to work there into text and add them to your cover letter!

#7. Wrap up with a call to action

To make the end of your cover letter as memorable as possible, you want to:

#8. Write a formal closing

Once you’re done with the final paragraph, all you have to do is write down a formal “goodbye” and you’re good to go.

Feel free to use one of the most popular conclusions in a cover letter:

#9. Proofread your cover letter

Last but not least, make sure to always proofread each and every document that you’ll be including in your job application - cover letter included.

The last thing you want is to be claiming you’re a great candidate for the job with a cover letter full of typos!

Frequently Asked Questions

Do you still have some questions about cover letters? Check out the answers below:

1. How do I write a simple cover letter?

To write a cover letter that’s simple but also professional, make sure to include a header with your personal information, a formal greeting to the hiring manager, an attention-grabbing opening paragraph, a second paragraph explaining why you’re a good candidate for the job, and a formal closing (preferably with a call to action).

2. What are the 3 parts of a cover letter?

The three parts of a cover letter are:

3. What makes a great cover letter?

A great cover letter should be personalized for each job you’re applying for, instead of being overly generic. It’s also preferable to address the hiring manager by their name and not use the overly-used “Dear Sir/Madam.”

To make a great first impression, you should mention 1-2 of your top achievements in your opening paragraph - the more job-specific they are, the better. Also, don’t stop at showing the hiring manager why you’re a great candidate for the job. Make sure to also talk about how you’re a good culture fit for the company.

Last but not least, wrap up your closing paragraph with a call to action to give the hiring manager a little extra something to remember you by.

4. When is a cover letter necessary?

Unless the job ad specifically states otherwise, you should always include a cover letter with your job application .

Even if the hiring manager doesn’t read it, you will look more professional simply by including one.

And that’s a wrap! We hope our cover letter examples and writing tips will inspire you to write a cover letter that will land you your next job.

Why use our cover letter templates

Resume Now’s cover letter templates are among the most elegantly designed you’ll find online. Here are a few of the reasons job seekers like using templates:

Templates save time and reduce stress.

The best reason to use a cover letter template is to reduce the stress of building your application letter from scratch. If you already have a stunning design, you can focus on the writing — such as highlighting your career achievements and showing passion for the company.

The formatting and fonts are industry-approved.

Formatting a cover letter can be a pain. Using a template will help you avoid common mistakes like picking a font that can’t be read by an applicant tracking system (ATS). Rest easy knowing the font size, line spacing and margin width are industry standard.

Employers will see you’re serious about the job.

Put yourself in a hiring manager’s shoes. Would you prefer the candidate who submits a sharp, attractive cover letter or a candidate who turns in a generic letter that hasn’t been formatted correctly? Templates make a good first impression and improve your chances of getting a callback.

The same style can be applied to a resume.

Your resume and cover letter designs don’t have to be identical, but they should look similar. Using the same templates for each will ensure consistency of layout, which will give you a leg up on the job application. We have resume templates to match every cover letter design we offer.

4 tips for using a professional cover letter template

Cover letter templates make your cover letter pretty so you don’t have to fret about the design. Nonetheless, you can use a template more effectively by keeping the following advice in mind:

Pick the best cover letter template based on your industry and job title.

For example, hiring managers in the financial, legal and medical sectors usually prefer a conventional resume style. However, a web design associate applying for a job at a new creative agency might choose a Unique or Creative resume template for distinctive flair.

Decide what information to use and leave out.

Most templates include prewritten content. Some of the content will apply to your career situation, while other sections won’t. We recommend keeping any language that comes closest to describing your situation. But, make sure to rewrite sentences to avoid plagiarism and give the cover letter more specificity. Our guide on how to write a cover letter can help.

Find the best words to express yourself confidently.

As you write your cover letter, revisit the job posting. Choose words from the description that closely match your goals and experience. Addressing the duties and skills listed in the job description and giving real examples of your qualifications demonstrates you are qualified for the job. If you struggle to find the words, a cover letter builder can help by offering suggested text tailored to the job.

Make sure your resume and cover letter match.

To create a polished application and stand out from the competition, you must closely match your cover letter style to your resume. Both documents should use the same colors, formatting and header content. Job seekers who align their applications will seem more organized than other applicants.

How do I write a cover letter if I’m underqualified for the job?

If you are underqualified for the job you’re applying for, then focus on your transferable skills and enthusiasm for the job. After all, the strongest letters don’t simply list qualifications; They paint a picture of a passionate applicant who will bring value to the team.

How do I write a good cover letter for my first job?

Applying for your first job can feel nerve-wracking. Fortunately, you don’t always need much experience to get hired; passion and determination can go a long way.
