University application letters can be intimidating. You may worry that your entire future hinges on your ability to write an effective letter. While your personal essay isn't the only thing that admissions boards consider when deciding who to accept, a well-written application letter may give you an edge in the application process. Your letter may be the closest thing you'll get to an inteview. Make it the best representation of yourself that you possibly can by offering the admissions committee a strong insight into your abilities and contributions as a prospective student at their university.

Review the Application Process

Read the school's application process carefully, which is generally found on the admissions Website. Be certain that you understand any specific essay questions or prompts before you begin, and make sure you understand and follow all of the instructions provided on the application. In addition to a personal statement or letter, you will likely need to send academic transcripts and letters of recommendation. Note and follow application deadlines.

Organize Your Letter

Decide how to organize and focus your letter. A narrative focus is chronological, telling the story of your academic career. Take an analytical approach when describing why you are a good match for the program. Describe why you are interested in your chosen area of study and what interests you about that particular school. Explain how you would be an asset to the school such as seeking leadership roles in student organizations or joining research studies. You may also wish to mention your past participation in programs and your project experience. Lastly, share the contributions you hope to make to your field. Don't attempt to tell your entire life story; stick to the highlights that present you as the best choice for admission, keeping in mind that your audience will have limited time to read your letter. Use that time wisely.

Write a Draft

Write thoughtfullly and coherently. Use clear and concise language. Avoid contractions. Use this as an opportunity to show the university that you possess effective writing skills. Your aim is to standout from other applicants in unique ways. Avoid passive voice, and stay away from clichés and broad reasoning such as, "I want to major in social work so I can help people." Try to answer direct questions in a way that is specific and original to you, not how every other applicant might answer. Use action verbs such as "created," "performed," "competed," in describing your accomplishments and plans. You may also wish to mention and adversity you faced. For example, you might mention maintaining a high GPA while working to pay your tuition at an excellent private high school that your single mother could not afford.

Carefully Edit Final Draft

Make sure the first couple sentences of your letter are interesting and engaging. Revise as necessary to capture the attention of the admissions board. First impressions matter a lot when you are competing with other qualified applicants. Next. slowly read every line of your letter paying close attention to grammar, punctuation and capitalization. Sentences and paragraphs should flow well. Lastly, ask an adult with excellent writing proficiency to proofread your letter. Make any necessary changes and submit your letter well before the deadline, if possible.

First, let's understand the role of recommendation letters in your application.

Why are Recommendation Letters Important?

The majority of admissions officers at four-year colleges, especially private schools, emphasize that their process is holistic . They seek to gain a sense of the student as a "whole person," rather than focusing on pieces of who she is based solely on grades and test scores. Since they rarely meet the student in person, the recommendation letters, along with the student's own personal essay, play a huge role in illuminating her intellectual and personal qualities.

That's why recommendation letters from teachers, especially those who know their students well, carry a great deal of weight in applications. A letter that expresses a strong vote of support, as well as highlights a student's impressive academic and personal strengths , can have a powerful effect on that student's chances of admission.

Sample Letter #3: William the History Buff and Social Organizer

Dear Admissions Committee, It is hard to overstate the meaningful contributions that William has made to our school and surrounding community. As both his 10th and 11th grade History teacher, I've had the pleasure of seeing William make profound contributions both in and out of the classroom. His school and community service is motivated by a strong sense of social justice, which he informs through a nuanced and sophisticated understanding of historical trends and events. I can say with confidence that William is one of the most caring and driven students I've ever taught in my fifteen years at the school. As a child of immigrant parents, William is especially drawn to understand the immigrant experience. Also like in the last example, Mr. Jackson focuses on a few core aspects of William's character. He talks about his love of history and how it informs his social activism. He comments on his exceptional historical scholarship, as well as his personal qualities of caring for those around him and working for the social good.

Mr. Jackson also gives insight into William's personal life , explaining how he has a personal connection to his projects and volunteer work as the child of immigrant parents. This letter reveals that William is a thoughtful, motivated individual who connects his own experiences with his learning and desire to contribute to his community.

The letter also showcases William's exceptional accomplishments by giving specific examples of William's research paper and his work supporting the academic and personal needs of ELL students. Joe demonstrated tremendous effort and growth throughout the year and brought a great energy to class. While the students featured in the first three examples were top of their class or demonstrated leadership in the school, Joe isn't a top achiever in the traditional sense. However, this recommendation is still a strong one, even if it says he struggled in the teacher's class. What does Mr. Wiles focus on to recommend Joe?

Mr. Wiles writes a strong letter for Joe, with the same kind of enthusiasm and specific examples as the other three letters. Even though Joe may not have gotten the strongest grades in his math class, he found an enthusiastic recommender in his math teacher. Mr. Wiles was extremely impressed with Joe's attitude, effort, and growth mindset , which he demonstrated throughout the year and inspired in his fellow classmates.

Mr. Wiles focuses on Joe's substantial personal strengths, ones that would likely be impressive to his future educators. Even in a subject that may not come naturally to him, Joe is diligent and committed. He's not self-conscious about asking questions or seeking extra help, and he retains a strong belief in himself that he can continuously learn, improve, and acquire new skills.

This letter, like the others, is effective because it is focused, supportive, and backed up with examples. As you can tell from these examples, recommendations can communicate a great deal about a student. Because of this, they can have a powerful impact on a student's chances of admission. So what can teachers and students do to make sure they are sending a strong recommendation letter that will help their chances?

How to Get a Strong Recommendation Letter

While these letters are about different students with different interests, they share certain fundamental features. One, they sound excited and enthusiastic. The teachers clearly communicate that they are impressed by these students and eager to help them get into college.

At the same time, the letters don't go overboard because they have examples to back up their assessments. Specific examples and stories are key for backing up the assessment. Plus, they make a letter more interesting and memorable. Rather than just another engineering applicant, Stacy is the student who researched sound-absorption to spare her parents from hours of guitar scales.

Finally, the teachers all discuss their students' personal strengths , along with their academic strengths. They present the holistic view that admissions officers are looking for, along with their strong vote of confidence in the students' future success.

Teachers should incorporate all these features into their letters, and students should help provide them with the raw material to write about. While students should choose a teacher who knows them well and has stories and observations to share, they should also give their teachers a detailed "brag sheet" and let them know what would go into their ideal letter. That way it can be even more personalized and complement the story the student is telling in the rest of her application.

While recommenders may or may not share their letters with students, there should still be open, two-way communication when the student makes her request . That way students and teachers can work together to produce an insightful, enthusiastic, and specific letter of recommendation to send to colleges.

The main goal of the letter need not be about the confirmation of your application. It could also be regarding your interest in the university and wants to perceive more information. You may phrase it like this -The letter is with the reference to Business Administration provided in your college. I have completed my graduation from a private college. I learned a special entrance exam is conducted for the students who may want to pursue this course. 

Make your Questions more specific, precise, and in detail like entrance tests, particular degree program details, due dates of the admission procedure, and confirmation of your application process. University’s alliances with the companies and more. It is better to do back-end research on the university, before writing the letter. In the digital era, most of the information is provided on search engines or the official website.

Application

We accept the Common Application  and the Coalition Application, Powered by Scoir . Both are treated equally by the Admissions Committee. Complete and submit your materials as soon as possible to ensure full and timely consideration of your application. If you use the Common Application, you must submit your application before your supporting materials (Secondary School Report, Teacher Reports, etc.) can be released to a college. Until you submit your own application sections, no part of your application will be transmitted to the Harvard Admissions Office.

Submitting Your Application

Receiving confirmation of your application.

After you submit your application, we will send an email confirmation with a PIN to access the Applicant Portal. We begin sending these daily application confirmation emails in mid-September each year. Most applicant receive their confirmation email the day after they submit their application online. Applications sent in the mail will take up to two weeks to process.

If have searched your inbox and still cannot find your confirmation email, we encourage you to check the application system you used and ensure you clicked "Submit" and not just "Save".

What if i am homeschooled.

Each applicant to Harvard College is considered with great care and homeschooled applicants are treated the same as all other applicants. There is no special process, but all relevant information about your educational and personal background is welcome. In addition to the application, all applicants are required to submit a transcript (which can be created by the family member or agency overseeing your schooling), and recommendations. If the application fee presents a hardship for your family,  simply request a fee waiver .

What if I need to make updates to my application after I submit it?

Do not resend your application in order to make updates. If you need to update your identification or contact information, or send updates, additional information, or corrections, please do so via the  Applicant Portal .

Misrepresentation of Credentials

Be completely accurate in your application materials. If we discover a misrepresentation during the admissions process, you will be denied admission. If you have already been admitted, your offer will typically be withdrawn. If you have already registered, your admission will normally be revoked, and we will require you to leave the College. Harvard rescinds degrees if misrepresentations in application materials are discovered.

The determination that an application is inaccurate or contains misrepresentations rests solely with the Admissions Office and will be resolved outside the student disciplinary process.

School Reports and Teacher Recommendations

Midyear school report.

When you apply, your school counselor will often send your transcript with few or no senior year course grades included. That is why the midyear school report is required - to allow us to review your performance in the first half of your senior year coursework .  The midyear school report must be completed by your school counselor or other school official. Please request that the midyear school report is completed and returned to our office as soon as possible.

What if i'm applying restrictive early action and i don't have my midyear grades yet.

Restrictive Early Action applicants are not required to submit the midyear report by the November 1 deadline. If you applied Restrictive Early Action and are deferred to Regular Decision, please submit the midyear report and transcript in February, or as soon as your midyear grades are available.

I'm an international student and my academic year is different. Do I still need to submit the midyear report?

If you study the IB curriculum or the A-level curriculum, then we expect that your school will send predicted grades, based on your current classroom work and the results of any internal or mock exams you have taken up to that point. If your school does not issue official or predicted midyear grades for your final year of school, then you do not need to submit the midyear report form, although the item may remain on your checklist.

What if I have already graduated from high school?

If you have already graduated from high school, you should ignore the midyear report requirement (though the item may remain on your Checklist in the Applicant Portal) and simply ask your school to send a final school report if you have not already done so.

Teacher Evaluations

Ask two teachers in different academic subjects who know you well to complete the Teacher Evaluation forms. If you wish to submit additional letters of recommendation, you can do so after you submit your application. In your application confirmation email, there will be a personalized link to send to your recommenders.

What courses should I take to prepare for applying to Harvard?

There is no “one size fits all” rule about which curriculum to study during secondary school years. Students should challenge themselves by taking courses deemed appropriate by their teachers and counselors. But some students believe that “more is always better” when it comes to AP, IB or other advanced courses.

While some students prosper academically and personally by taking large numbers of such courses, others benefit from a more balanced approach that allows them additional time for extracurricular and personal development. Even the best students can be negatively affected by taking too many courses at once, and might benefit instead from writing, reading or research projects on subjects of great interest to them.

Is there a specific math requirement?

Applicants to Harvard should excel in a challenging high school math sequence corresponding to their educational interests and aspirations. We recommend that applicants take four years of math courses in high school. Ideally, these math courses will focus on conceptual understanding, promote higher-order thinking, and encourage students to use mathematical reasoning to critically examine the world. Examples include rigorous and relevant courses in computer science, statistics and its subfields, mathematical modeling, calculus, and other advanced math subjects.

Students’ math records are viewed holistically, and no specific course is required. Specifically, calculus is not a requirement for admission to Harvard. We understand that applicants do not have the same opportunities and course offerings in their high schools. Moreover, many programs of study at Harvard do not require knowledge of calculus. We encourage applicants to take the courses that are available to them and aligned with their interests and goals.

Students intending to study engineering, computer science, physics, mathematics, statistics or other fields where calculus is needed may benefit from taking calculus in high school. However, students at Harvard can still pursue such fields by starting with one of our introductory calculus classes that has no high school calculus prerequisite. On balance, we encourage all students to master foundational mathematical material instead of rushing through any of the more advanced courses.

Final School Report and Transcripts

All admitted students who choose to enroll are required to send a Final School Report and transcript as soon as their final grades become available – no later than July 1. The Final School Report and transcript should be completed and sent by a school counselor or other school official through Parchment/Docufide or Scrip-Safe International, if your school has access to these submission options.

IB students should send their final results as soon as they are released in mid-July. We will expect to see final A levels results by mid-August.

Standardized Test Scores

For the College Classes of 2027-2030, students may apply for admission without standardized test scores. Please read our announcement for more details on the application changes for the upcoming cycles. 

If you choose to submit standardized tests, you may submit the SAT or ACT (with or without the writing component). While the College Board no longer offers Subject Tests and they are not a requirement for applying, you may submit Subject Tests taken in the last 5 years. If you choose to submit Subject Tests, it is more useful to choose only one mathematics test rather than two. Similarly, if your first language is not English, a Subject Test in your first language may be less helpful.

How do i let harvard know whether i would like my application reviewed with or without test scores.

When you apply for admission, you can choose whether or not our review of your application will include your standardized test scores (SAT and ACT).

Can I self-report my test scores?

Yes. Applicants may provide self-reported SAT and ACT test scores (including Subject Tests, Advanced Placement, IB, etc.). Admitted students who decide to enroll at Harvard College will be required to submit official test scores.

How do I send my test scores?

You are free to use the College Board Score Choice option or the similar option offered by the ACT. Our official codes are 3434 for the College Board SAT Reasoning Tests and 1840 for the ACT if you are submitting official test scores as part of your application.

Are there test score "cutoffs"?

There are no score cutoffs, and we do not admit “by the numbers.” For the ACT, we will evaluate your highest composite score and any other scores you choose to share with us. We take into account your educational background when reviewing your scores.

Should I prepare for standardized tests?

Opportunities to prepare for standardized tests vary greatly for students of different socioeconomic backgrounds. Research indicates that short term test preparation usually has little effect, but the free “test prep” now offered by the SAT and the ACT might make a significant difference for students who follow their programs for extended periods of time. Such free programs could help to level the playing field for students from under-resourced schools by providing the academic skills that will serve them well on standardized tests and also in college. Students can also do well by studying widely and deeply over a long period of time on their own with the help of family, school, or community organizations.

What do standardized tests and grades indicate about academic preparation for college?

Standardized tests provide a rough yardstick of what a student has learned over time and how that student might perform academically in college - but they are only one of many factors considered. High school grades in a rigorous academic program can also be helpful in assessing readiness for college courses, but the thousands of secondary schools around the country and the world employ various high school curricula and a wide range of grading systems - and some have no grades at all. Other students have been homeschooled or prepared for college by taking part in multiple schooling opportunities both in person and electronic.

Given the wide variation in how students prepare for Harvard – as well as the fact that most applicants and admitted students have outstanding academic records – it is difficult for high school grades to differentiate individual applications. That does not mean that high school grades are unimportant. Students who come to Harvard have done well day to day in their high school studies, providing a crucial foundation for academic success in college, including a 97% - 98% graduation rate.

SAT and ACT tests are better predictors of Harvard grades than high school grades, but this can vary greatly for any individual. Students who have not attended well-resourced schools throughout their lives, who come from modest economic backgrounds or first-generation college families have generally had fewer opportunities to prepare for standardized tests. Each application to Harvard is read with great care, keeping in mind that talent is everywhere, but opportunity and access are not.

Does Harvard accept SAT Subject Test scores?

As announced by the College Board, Subject Tests and the essay portion of the SAT have been terminated, except in certain special circumstances. See the  College Board's announcement for more details. Harvard admission officers review all material that an applicant submits, so if you have already taken Subject Tests or the essay portion of the SAT, you may still submit it along with your other application materials.

How do I choose whether to submit my standardized test score?

Choosing whether or not to submit test scores is a personal decision for every applicant. There are many reasons why students do not submit test scores, including expense. In general, though, anything that might give a more complete or positive picture of an applicant can be helpful. Even if you feel your test scores do not fully represent your strengths, perhaps because of a lack of resources at your school or limited opportunities to prepare for or take the tests, you could note this fact in your application to provide context. There are no score cutoffs and we do not admit “by the numbers.”

Why can't I view my standardized test scores in the Common Application?

Since Harvard College is not requiring applicants to submit standardized test scores for the 2022-2026 application cycles , your standardized scores will not display in the Common Application PDF preview, even if you have chosen to submit them. However, if you entered your test score information and would like it to be considered, that data will still be transmitted to us with your application and we will review it. You can verify this by viewing the Application Checklist in your Applicant Portal. You will see a green check mark if we have received your standardized test scores.

How will Harvard evaluate the new digital SAT?

The College Board's shift to a digital delivery of the SAT will not impact the way in which Harvard reviews test scores within applications. For the College Classes of 2027-2030, students may apply for admission without standardized test scores. Students who do not submit standardized test scores will not be disadvantaged in their application process. Please  visit the College Board FAQs  for more information.  

Supplemental Materials

Our standard application materials typically give us ample information for making admission decisions. However, we recognize you may have truly exceptional talents or achievements you wish to share, and we want you to have every opportunity to best represent yourself.

At the discretion of the Admissions Committee, supplementary materials—such as music recordings, artwork, or selected samples of academic work—may be evaluated by faculty. These materials are entirely optional.

Material Types

How to submit documents and articles.

Scholarly articles, research, creative writing or other documents of which you are the primary author should be submitted in the Upload Materials section of the Applicant Portal . This is the most efficient and direct method of submitting these materials, because they will be added directly to your official application. All submissions should include a list of any individuals with whom you collaborated in the production of the work. If appropriate, please identify your research sponsor, mentor, and/or laboratory or research group leader and provide a short description of your particular contribution to the work.

How to submit media (video, audio, or images)

You may submit optional supplementary media materials (e.g. videos, audio recordings, or images) electronically via Slideroom . Details for submissions in art, dance or choreography, musical performance or composition, will be found on the Slideroom website. There is a small submission fee, but if this fee causes you economic hardship, you may request a fee waiver at the point of submission. You may also contact us to request a fee waiver.

Should I submit other academic materials?

Harvard accepts other standardized tests or other academic credentials if you choose to submit them. In any admissions process, additional information can be helpful. For example, Advanced Placement, International Baccalaureate, A-levels, national leaving examinations, national or international contests, early high school assessment scores such as the PSAT or pre-ACT, or courses taken outside your school during the school year or summer are just some examples of information that could be submitted. Subject Tests and the essay portion of the SAT have been terminated, except in certain special circumstances. Harvard admission officers review all materials that an applicant submits, so if you’ve already taken Subject Tests or the essay portion of the SAT, you may still submit them along with your other application materials.

How to Write Letter of Intent for Grad School?

The body of your letter of intent is where you could introduce yourself to the application committee and make your case for acceptance. You might take a few different approaches here, depending on your purpose in writing a letter of intent. While this could vary widely, much of the time, it may alternate between two specific goals.

Which one is appropriate for you depends, in many ways, on your background and the rest of your application. For example, if you’re applying with a stellar GPA, an impressive resume, and high test scores, you might not need that element of personalization to set you apart. Instead, it might be a great idea to emphasize your impressive achievements. 

In this case, the organization of your letter of intent body may be fairly straightforward, taking a note from business-oriented cover letters. For example, you might dedicate the first paragraph to the opportunity you’re pursuing. The second might be about your relevant skills and how you’ve demonstrated them. You could then end with your educational or career background related to your application. 

But what if your CV is a little more average, or if you have struggled in the past with a  low GPA  or personal issues? Then an alternate approach, like your personal story, might be a solid tactic. By giving an identity and context to your application, you could draw attention to who you are and your passion for your field. 

In this case, how you organize the letter may vary widely, depending on what you’re trying to say and the story you have to tell. Often this could be chronological. But it might be a great idea to put some thought into how you’re planning to organize your letter. Then look back at your draft to make sure that strategy works.

But those words need to be chosen very carefully, and they need to follow a recognized structure.These are the five key elements in the format of a university cover letter:

The cover letter header is a thoughtfully designed section at the top of the page that contains your name, occupation, address, phone number and email. It may also include your photo and perhaps your LinkedIn profile — but don’t clutter it up with much else.

When the hiring manager opens your cover letter, before reading the first words, they should say, “Hmm, this looks nice.” In a page otherwise full of paragraphs full of black text, the header is your one opportunity to make some design choices to help your letter look as good as it reads. You can opt for an accent color, an imaginative layout, creative use of typography and perhaps icons for your address, phone and email. It should not be “gimmicky,” but it should be designed with a certain amount of flair.

The cover letter greeting, also known as a salutation, is the line where you say “Dear Ms. Smith,” “Dear Mr. Hernández” or “Dear Dr. Patel.” 

Don’t get too creative here — in a letter seeking employment, “Hey, y’all” is obviously not going to work. Do attempt to find out the name of the person to whom you should address your job application letter. People like to read their own names, and it shows your attention to detail and your interest in this employer if you’ve gone to the trouble of finding out who is processing the applications for the job you want.

To catch a fish, you have to throw out some enticing bait. And your cover letter introduction, the opening paragraph, should both identify the job you’re seeking and make a convincing case that you’re the right person to fill it.

For a university application, mentioning your top-notch alma mater may be one way to bait the hook. If you have years of experience in your field, that may be another. Lead with your strengths, and try to write a paragraph that makes it impossible for the recruiter to stop reading.

The body of your cover letter — i.e. the middle paragraphs — should contain the heart of your pitch. If your introduction has hooked the fish, the body is the part where you reel it in. 

Given a one-page limit, you have a lot of work to do here in a short amount of space. Here you must list all of your top qualifications for the job you want. Again, this will usually include experience in your field, and in a university cover letter, it will generally address your education. 

Be specific about your work experience, using facts and figures wherever possible, and try to relate at least one anecdote about how you solved a thorny problem in a previous job. 

Also, try to mention the name of the university where you’re applying, and explain what it is that makes you want to work there. Let the employer know that you aren’t just mass-mailing job applications to random universities, but that you specifically want to work for this one. For example:

How to end a cover letter (conclusion example)

The conclusion of your cover letter should contain a call to action, in which you suggest that the hiring manager take some action as a result of your letter. You can say that you look forward to a reply, that you’d be happy to follow up with a phone call, or that you’d be delighted to be invited for an interview, in person or remotely. 

Your interest in receiving a reply should let the recruiter know that you’re really interested in this job. You don’t want to sound either desperate or overconfident, but you do want to convey your sincere interest in exploring this job opportunity further.

Layout and design of a university cover letter

Your letter needs to say the right things, but it also needs to have the right look. Choose the right layout and design for your cover letter, and don’t squander your golden prose on a badly designed letter that sounds great but looks ugly.

You need to use a legible font — nothing avant-garde or strange-looking. You want to choose a font size between 10 and 12 points, big enough to read but not so big it looks like you’re writing a children’s book. 

You need to use 1-inch margins at the top, bottom, right and left of your letter. You need to add a space between your paragraphs, which should not be indented, and hold all paragraphs to a reasonable length.

Remember that nobody owes you a job, and you don’t need to convince anyone that you deserve one. You need to convince employers that you can help them more than they can help you, making the company stronger, more profitable and more efficient. 

Pay close attention to your tone, making sure that it’s friendly, professional and confident, but never arrogant or presumptuous.

And just as it’s essential to quantify your achievements on your resume , it’s equally important to use hard numbers in the body paragraphs of your letter of application. Adding numbers to your application letter when other applicants only vaguely describe their qualifications will make your application memorable. The budgets you worked with, people you helped, and number of projects you were a part of can all be quantified using hard numbers.

Using numbers also shows the hiring manager the extent of what you can do. So, for example, if you’re applying to a smaller nursing home with only 50 beds, the first statement below shows you’re more than qualified to handle caregiving for their residents, while the statement without hard numbers is unclear:

5. Choose engaging words for your application letter

Your letter of application’s length should be 250 to 400 words or 3 to 4 paragraphs — long enough to get your point across but short enough that the reader won’t lose interest. So make every word count by using strong action verbs and powerful adjectives instead of buzzwords.

For instance, buzzwords like “tasked with,” “responsible for,” and “participated in” are passive and sound like you copied responsibilities from a job posting. Instead, use verbs like “spearheaded,” “managed,” and “executed.” Here’s an excerpt from a UX designer’s letter of application that successfully uses action verbs and power adjectives :

As a Senior UX designer for Sparklabs from 2015–2017, I worked as the sole UX designer. Under minimal supervision, I systematically executed over 4 major design projects for our new website in Canada, including launching 10 prototypes based on different case studies and conducting 50+ user interviews. My innovative designs boosted our marketing campaigns by 92%, which was extremely rewarding.

Along with action verbs, descriptive adjectives help your cover letter to tell a story, which is important because stories are 22 times more likely to be remembered than facts alone. For instance, a hotel manager should include adjectives such as “courteous,” “decisive,” and “tactful” to give hiring managers a better feel for their customer service and people skills .

By carefully choosing adjectives for your job application letter, you also help employers evaluate whether you’re someone they’d want to work with. Notice the difference in this nurse’s experience written with and without power adjectives:

End your application letter by inviting the hiring manager to contact you for an interview. Include your phone number and email address in your call to action to make it that much easier for a hiring manager to call you straightaway.

Unsure how to format your letter of application ? Here are 4 tips for formatting an application letter so it stands out to employers:

1. Choose an appropriate font and font size

An appropriate application letter font size is between 10.5 to 12 points. Using a suitable font size ensures readability and that there’s enough white space throughout your letter, making it look professional.

Also, you should pick a professional letter of application font like:

Professional fonts are easily scanned by applicant tracking systems (ATS), which is software that filters applications for keywords. An ATS might not be able to read your letter of application if you use uncommon fonts.

2. Fix your margins

Properly sized margins help create the perfect mix of white space and text, making your letter of application easy to read. The standard size for application letter margins is 1″, the default on Microsoft Word. However, you can adjust your margins between ½” and 1½”:

If you have a lot of relevant experience that addresses the job posting you’re responding to, changing your margins to ½” to fit more text on the page is fine.

#4 The assumption

In the end, you have to write a concluding paragraph. In the end, you can make a little debate about the scholarship and your eligibility for the scholarship. And make it clear that you are the perfect one for the scholarship.

It simply brings the discussion to an appropriate end. In the concluding words, put emphasis on your merit and prove yourself worthy of the scholarship. Give arguments that make the reader think ‘you are a perfect fit for the scholarship.’

An introduction letter is a one that is intended to introduce an entity, its characteristics, and the goal of the business that an individual or an organization wishes to offer to another person or establishment.

It is one document that may be required as part of the visa application materials for those applying for a visa. A letter of introduction is merely a letter to the embassy from your employer or the head of an educational institution. It must be typed and addressed to the embassy on letterhead.

The criteria governing an introduction letter can vary from one embassy to the next or depending on who is applying for it, such as a student or an employer.

Students applying for visas must demonstrate that they are still enrolled in school, and adding a student ID in the application is insufficient to demonstrate that they are still enrolled. The only document that can prove that one is still in school is an introductory letter from the institution.

The school’s letter of introduction must be addressed to the Visa Section of the embassy in question. Also, an Introductory Letter from an educational institution to support a student’s visa application must include but are not limited to the following:

If you are a visa applicant who works for a firm, you will need an introduction letter from your boss. The No Objection Certificate is another name for this type of introduction letter.

A Director, Human Resource Manager, or any other person designated to issue such letters on behalf of the organization issues introductory letters to employees for visa purposes. Employee introduction letters should include, but are not limited to, the following;

Do you need to write an explanation Letter to Immigration Officer? Perhaps you want to immigrate to Canada through express entry,  provincial nominee programs , or other visa applications. In any case, a letter of explanation (LOE) may be required. Applicants use this document to provide additional information and context for their application to IRCC through the visa officer. In addition, a Letter of Explanation (LOE) can help explain certain aspects of your situation that may not be clear from your other documents. What is a Letter of Explanation?

As far as Canadian immigration is concerned, a letter of explanation (LOE) is a document that an applicant writes to provide further clarification on a specific aspect of their case. A well-written LOE may be addressed to a border services officer or a Canadian immigration officer. It should include any pertinent information relevant to the decision-making process.

Why Write a Letter of Explanation?

Our experience working with visa applicants from different countries suggests several key reasons why an applicant may choose to write a letter of explanation, LOE.

The letter of explanation should be written by the visa applicant only. Acceptable letter of circumstantial explanation document for moving to Canada is not to be written by a friend, family member, or representative on behalf of the applicant.

As you can see, the letter of explanation should be concise and to the point. Providing all relevant information while still being respectful and polite is essential.

Explanation letter to immigration officer sample (free copy 2)

Countries that require a letter of explanation for immigrating to Canada

There is no legal requirement to include a letter of explanation (LOE) when applying for Canadian immigration. However, adding a letter to explain one’s unique situation may be helpful to citizens of Nigeria, India, the Philippines, Pakistan, Bangladesh, and many other countries.

Do I need a Letter of Explanation for Temporary Visa Applications?

Yes and no – a letter of explanation is not typically required for temporary visa applications. However, a brief letter explaining your unique situation may be helpful, especially if you are from a country that typically requires an LOE. Is a Letter of Explanation required for PGWP?

No – a letter of explanation is not typically required for Post-Graduate Work Permit  (PGWP) applications . However, adding a brief letter explaining your unique situation can be beneficial if you overstayed your visa duration or violated any part of your study permit rules.

Does a Letter of Explanation to the immigration officer need to be notarized?

No – a letter of explanation does not typically need to be notarized. However, if you are from a country that requires an LOE, it is best to check with the Canadian embassy or consulate in your home country to confirm what is needed.

How to send a Letter of Explanation to IRCC?

The easiest way to send a Letter of Explanation (LOE) to IRCC is to upload it alongside other documents such as a passport, education certificates, work experience proofs, and other papers in the IRCC portal during submission. Therefore, it is advisable to include LOEs on the first page of the supporting document, somewhere the visa officer can see it.

If you have already applied, you can either mail your LOE with your other application materials to the office handling your application or use  the web form  to send it to CIC.
