How to Write an Invitation Letter for U.S. Visa
Published On: November 30, 2022

Were you asked to write a visa invitation letter by a relative or friend seeking a U.S. nonimmigrant tourist visa ? While not a requirement, an invitation letter for a U.S. visitor visa, written by a U.S. citizen or legal permanent resident, can be a good addition to the visa application. It can be helpful because it clearly indicates to USCIS that the visitor will have a residence (temporary) after being admitted into the United States and have a definitive departure date. In this post, we will examine what makes a good letter plus a few sample invitation letters.
When is an Invitation Letter for U.S. Visa Required?
An invitation letter is typically useful for individuals applying for a tourist visa or other temporary visa such as a B-1 , F, J or M visa. The letter should be included when filing the other required forms at the U.S. consulate/Visa Application Center. The letter would be typed or written in ink although typing it is better overall.

Information to Include in the Invitation Letter
An invitation letter increases the chances of the B-2 visa application being approved. The letter should be clear that the U.S. citizen or LPR can host the foreigner for the duration in the United States. If there are familial ties or a close friendship, this can be useful to mention as well. Note that having an immigration invitation letter does not guarantee the visa will be issued, but it certainly does help. It also helps to emphasize that the activities the visitor will partake in while in the U.S. are completely legal and in line with the visa parameters.

There is no hard rule about what has to be included in the invitation letter for a visa, but as a guideline, it is good practice to include the following details:
- Host’s name
- Host’s status in the United States
- Host’s contact information and address
- Visitor’s name and date of birth
- Visitor’s passport number (if advised)
- Visitor’s contact information
- Relationship between the two parties
- Reason for the visit and length (exact entry and departure dates)
- Home space details
The host writing the letter should be a citizen of the United States or a Lawful Permanent Resident. Furthermore, they should have a home or apartment with enough space to accommodate the foreign friend/relative/girlfriend/boyfriend. The invitation letter is just one component of the overall visa application. It is important to meet the other U.S. nonimmigrant visa requirements, including strong ties to your home, employment, etc.

Sample Invitation Letter for Visitor Visa
Always have a qualified immigration attorney review the letter before including it in the visa application . You should not write the letter too formally, or it can sound contrived. The following is an invitation letter sample that demonstrates the various components of the letter that the writer should include. It is addressed to the guests, so the tone is less formal and more conversational than one written to the consular office.
Jose and Maria Gonzalez [Visitor’s Name] PONIENTE 7 447, CENTRO, 94300 [Visitor’s Address] Veracruz, Mexico December 1, 2021 [Date] [email protected] [Host’s Email Address] Dear Jose and Maria, I am inviting you to visit me in California for my 50th birthday celebration on May 2, 2023. As my brother and sister-in-law, I would like you to come to celebrate this special time and stay in my home (which I own) in Los Angeles, California for the entire week (May 1-8, 2023) so that I can show you where I live and introduce you to the rest of the family here. I am more than happy to pay for your expenses to come to visit (including the airfare travel to the United States and then back to Mexico as well as food and medical insurance). As a high-school teacher, I have the entire summer off and am able to accommodate you both during your time in the United States. While you are here in California were can visit some historic destinations and museums as well since I know about your interest in archeology. I will cover the costs to visit these places while you are here so do not worry about that. I am very much looking forward to spending time with you both! Sincerely, Jennifer Gonzalez [Host’s Name] 5960 W 85th Place [Host’s Address] Los Angeles, California, 90045 Cell phone: 310-330-8736 [Host’s Contact Info] Home phone: 310-987-0043 [Host’s Signature]

Here is another sample letter that is addressed to the consular office:
[Date] U.S. Consulate General [Consulate Address] Dear Sir/Madam Consul, Jose Gonzalez [Visitor’s Name] – Passport Number 83725374 – [Visitor’s Birth Date] Born on March 17, 1969 My name is Jennifer Gonzalez [Host’s Name] and I reside at 5960 W 85th Place, Los Angeles, California, 90045 [Host’s Address]. The purpose of the letter is to support the visa application for my brother Jose Gonzalez. He is a citizen of Mexico, where I was born as well, and he lives at PONIENTE 7 447, CENTRO, 94300 [visitor’s address]. I love my brother very dearly and have not seen him in eight years. I am requesting he be issued a tourist visa so he can come to visit me in Los Angeles from May 1-8, 2023 to celebrate my 50th birthday with the rest of the family here in the United States. I am a teacher so I will have the entire summer off of work so I can accommodate him in my home and any expenses incurred while he is in the United States. Jose will be showing you this letter along with other supporting documents including his employment in Mexico to show he has no intention of remaining in the United States past May 8, 2023. I truly appreciate your consideration for his visa. Sincerely, Jennifer Gonzalez [Host’s Name] 5960 W 85th Place [Host’s Address] Los Angeles, California, 90045 Cell phone: 310-330-8736 [Host’s Contact Info] Home phone: 310-987-0043 [Host’s Signature]
Supporting documents may also be beneficial, but not necessary, to submit to the embassy. These may include a copy of the host’s identification or passport, proof of residence for you to stay in during your trip, a travel itinerary detailing things you plan to do during your trip, etc. Again, your immigration lawyer is best suited to advise you regarding alternative forms of supporting documentation to include along with your visa invitation letter. Once the host has finished writing the invitation letter, it should be submitted by the visa applicant during their appointment at the consulate/embassy along with Form I-134.

Invitation Letter Frequently Asked Questions
Below are some of the most frequently asked questions our office receives. Should you have a question or concern that is not addressed below, it’s best to schedule a private consultation.
How do I write a visa invitation letter?
The first requirement is that a United States citizen or legal permanent resident write the visa invitation letter. This person is referred to as the host. The visitor to the United States should be a friend/relative/boyfriend/girlfriend to the host. The relationship should be made clear in the visa invitation letter. Other components of the letter include the date it is written, visitor’s passport number if the letter is for the consulate, the host’s full name, address, contact information, details about where the host lives, and the fact that there is room to accommodate the guest, the exact dates of visitor’s trip to the United States and confirmation that the host will support the expenses during that time. USCIS fears that the individual will come to the U.S. on a tourist visa and then not leave, resulting in them having to be deported, so having the exact entry and departure dates in the letter is good to include. Review the two sample invitation letters above. If it is written directly to the guests, the tone can be less formal and more conversational.
How can I invite someone to the USA?
You can invite someone to the United States by writing a visa invitation letter either addressed to them or addressed to the consular office. There are sample invitation letters outlined above. While they differ slightly, they both have key components including the host’s name, status in the U.S., contact information and address, visitor’s name, contact information, the relationship between the two parties, the reason for the visit, and trip duration.
Who needs to provide a visa invitation letter?
Typically, tourist visa applicants (B2 visa) should include an invitation letter along with the tourist visa application. While it can be beneficial to the case, it is not required and does not in any way guarantee an approval. The person writing the letter (host) should be a citizen of the United States or a Lawful Permanent Resident. They should also have a home or apartment with enough space to accommodate the foreign friend/relative/girlfriend/boyfriend.
Where do I send my visa invitation letter?
After the invitation letter has been completed by the U.S. citizen host or lawful permanent resident, you should submit it during your appointment at the consulate/embassy along with Form I-134.
What are the requirements to write a visa invitation letter?
To be clear, the letter itself is not required but recommended. The letter should be written by a United States citizen or lawful permanent resident. In the letter, the host should specify their status in the United States and their living situation. The host can also include proof of the residence, such as homeownership or a rental agreement if possible and willing. Be sure everything detailed in the letter is accurate. If there are discrepancies between what the letter states and what the guest tells immigration officials during the in-person appointment, the entire case risks being put on hold.
Does the visa invitation letter need to be hand-written?
You can either type or write the visa invitation letter. If you handwrite it, make sure it is legible and the same ink color is used for the entire letter.

Schengen Visa Application Cover Letter – Samples for Tourist, Medical and Business Visa Applications
A Schengen Visa Cover Letter is the letter, which the visa applicant writes for the embassy where the visa application documents will be submitted.
A Schengen visa cover letter contains:
- The purpose of your travel to the Schengen member state or states
- Proof of how you will fund your trip (own funds or sponsor)
- If you have a sponsor – explain your personal relationship with your sponsor and the reason why they will be sponsoring your trip
- An overview of your itinerary, which also explains why you chose to apply at the specific Embassy
- If you cannot submit any of the required documents, write about the reasons why you cannot submit and explain alternative documents that you may have submitted
- Your intent to return to your home country – you can also write a separate letter of intent to explain your rootedness to your home country
It is important to write a cover letter as a way of communication with the embassy officer that will/is going to process your visa application.
Especially, now that a lot of the Embassies use the VFS services to collect documents and deliver the applicant’s passport, you have no chances given to speak to the visa officers and explain your details. As the visa officers make their decisions based on the documents you provide, it is highly recommended to write a cover letter that would do the explaining for you.
Therefore, write a compelling cover letter even though it is not to be found on the list of required documents!

Citizens of Canada and Bermuda
Generally, a citizen of a foreign country who wishes to enter the United States must first obtain a visa, either a nonimmigrant visa for a temporary stay, or an immigrant visa for permanent residence. Visitor visas are nonimmigrant visas for persons who want to enter the United States temporarily for business (visa category B-1), for tourism (visa category B-2), or for a combination of both purposes (B-1/B-2).
Here are some examples of activities permitted with a visitor visa:
Business (B-1)
- Consult with business associates
- Attend a scientific, educational, professional, or business convention or conference
- Settle an estate
- Negotiate a contract
Tourism (B-2)
- Vacation (holiday)
- Visit with friends or relatives
- Medical treatment
- Participation in social events hosted by fraternal, social, or service organizations
- Participation by amateurs in musical, sports, or similar events or contests, if not being paid for participating
- Enrollment in a short recreational course of study, not for credit toward a degree (for example, a two-day cooking class while on vacation)
Travel Purposes Not Permitted On Visitor Visas
These are some examples of activities that require different categories of visas and cannot be done while on a visitor visa:
- Paid performances, or any professional performance before a paying audience
- Arrival as a crewmember on a ship or aircraft
- Work as foreign press, in radio, film, print journalism, or other information media
- Permanent residence in the United States
Visitor visas will also not be issued for birth tourism (travel for the primary purpose of giving birth in the United States to obtain U.S. citizenship for their child).
How to Apply
There are several steps to apply for a visa. The order of these steps and how you complete them may vary by U.S. Embassy or Consulate. Please consult the instructions on the U.S. Embassy or Consulate website .
Complete the Online Visa Application
- Online Nonimmigrant Visa Application, Form DS-160 – Learn more about completing the DS-160 . You must: 1) complete the online visa application and 2) print the application form confirmation page to bring to your interview.
- Photo – You will upload your photo while completing the online Form DS-160. Your photo must be in the format explained in the Photograph Requirements .
Schedule an Interview
Interviews are generally required for visa applicants with certain limited exceptions below. Consular officers may require an interview of any visa applicant.
You should schedule an appointment for your visa interview at the U.S. Embassy or Consulate in the country where you live. You may schedule your interview at another U.S. Embassy or Consulate, but be aware that it may be more difficult to qualify for a visa outside of the country where you live.
Wait times for interview appointments vary by location, season, and visa category, so you should apply for your visa early. Review the interview wait time for the location where you will apply:
Appointment Wait Time
Check the estimated wait time for a nonimmigrant visa interview appointment at a U.S. Embassy or Consulate.
Note: Please check the individual Embassy or Consulate website to determine if your case is eligible for a waiver of the in-person interview.
Applicants scheduling visa appointments in a location different from their place of residence should check post websites for nonresident wait times.
Select a U.S. Embassy or Consulate:
Prepare for your interview.
- Fees - Pay the non-refundable visa application fee , if you are required to pay it before your interview. If your visa is approved, you may also need to pay a visa issuance fee, if applicable to your nationality. Fee information is provided below:
Select your nationality to see Issuance Fee
- Review the instructions available on the website of the U.S. Embassy or Consulate where you will apply to learn more about fee payment.
Gather Required Documentation
Gather and prepare the following required documents before your visa interview:
- Passport valid for travel to the United States – Your passport must be valid for at least six months beyond your period of stay in the United States (unless exempt by country-specific agreements ). Each individual who needs a visa must submit a separate application, including any family members listed in your passport.
- Nonimmigrant Visa Application, Form DS-160 confirmation page.
- Application fee payment receipt, if you are required to pay before your interview.
- Photo – You will upload your photo while completing the online Form DS-160. If the photo upload fails, you must bring one printed photo in the format explained in the Photograph Requirements .
Additional Documentation May Be Required
Review the instructions for how to apply for a visa on the website of the U.S. Embassy or Consulate where you will apply. Additional documents may be requested to establish if you are qualified. For example, additional requested documents may include evidence of:
- The purpose of your trip,
- Your intent to depart the United States after your trip, and/or
- Your ability to pay all costs of the trip.
Evidence of your employment and/or your family ties may be sufficient to show the purpose of your trip and your intent to return to your home country. If you cannot cover all the costs for your trip, you may show evidence that another person will cover some or all costs for your trip.
Note: Visa applicants must qualify on the basis of the applicant's residence and ties abroad, rather than assurances from U.S. family and friends. A letter of invitation or Affidavit of Support is not needed to apply for a visitor visa. If you choose to bring a letter of invitation or Affidavit of Support to your interview, please remember it is not one of the factors used in determining whether to issue or deny the visa.
Attend Your Visa Interview
A consular officer will interview you to determine whether you are qualified to receive a visitor visa. You must establish that you meet the requirements under U.S. law to receive a visa. Ink-free, digital fingerprint scans are taken as part of the application process. They are usually taken during your interview, but this varies based on location.
After your visa interview, the consular officer may determine that your application requires further administrative processing . The consular officer will inform you if this required.
After the visa is approved, you may need to pay a visa issuance fee (if applicable to your nationality), and make arrangements for the return of the passport and visa to you. Review the visa processing times to learn more.
Entering the United States
A visa allows a foreign citizen to travel to a U.S. port-of-entry (generally an airport) and request permission to enter the United States. A visa does not guarantee entry into the United States. The Department of Homeland Security (DHS), U.S. Customs and Border Protection (CBP) officials at the port-of-entry have authority to permit or deny admission to the United States. If you are allowed to enter the United States, the CBP official will provide an admission stamp or a paper Form I-94, Arrival/Departure Record. Learn more about admissions and entry requirements, restrictions about bringing food, agricultural products, and other restricted/prohibited goods, and more by reviewing the CBP website .
Extending Your Stay
See Extend Your Stay on the U.S. Citizenship and Immigration Services (USCIS) website to learn about requesting to extend your stay beyond the date indicated on your admission stamp or paper Form I-94.
Failure to depart the United States on time will result in being out of status . Under U.S. law, visas of individuals who are out of status are automatically voided ( Section 222(g) of the Immigration and Nationality Act ). Any multiple entry visa that was voided due to being out of status will not be valid for future entries into the United States.
Failure to depart the United States on time may also result in you being ineligible for visas in the future. Review Visa Denials and Ineligibilities and Waivers: Laws to learn more.
Change of Status
If your plans change while in the United States (for example, you marry a U.S. citizen or receive an offer of employment), you may be able to request a change in your nonimmigrant status to another category through U.S. Citizenship and Immigration Services (USCIS). See Change My Nonimmigrant Status on the USCIS website to learn more.
While you are in the United States, receiving a change of status from USCIS does not require you to apply for a new visa. However, once you depart the United States you must apply for a new visa at a U.S. Embassy or Consulate in the appropriate category for your travel.
Additional Information
- An individual on a visitor visa (B1/B2) is not permitted to accept employment or work in the United States.
- There is no guarantee you will be issued a visa. Do not make final travel plans or buy tickets until you have a visa.
- A valid U.S. visa in an expired passport is still valid. Unless canceled or revoked, a visa is valid until its expiration date. If you have a valid visa in your expired passport, do not remove it from your expired passport. You may use your valid visa in your expired passport along with a new valid passport for travel and admission to the United States.
Travel for Medical Treatment
If you are seeking medical treatment in the United States, the consular officer may ask for further documents at your visa interview, which may include:
- Medical diagnosis from a local physician, explaining the nature of the ailment and the reason you need treatment in the United States.
- Letter from a physician or medical facility in the United States, stating they are willing to treat your specific ailment and detailing the projected length and cost of treatment (including doctors’ fees, hospitalization fees, and all medical-related expenses).
- Proof that your transportation, medical, and living expenses in the United States will be paid. This may be in the form of bank or other statements of income/savings or certified copies of income tax returns (either yours or the person or organization paying for your treatment).
Visitor Visas for Personal or Domestic Employees (B-1)
You may apply for a B-1 visitor visa to work in the United States as a personal or domestic employee for your employer in limited situations. You may work in the United States on a visitor visa if your employer is:
- A U.S. citizen who has a permanent home or is stationed in a foreign country, but is visiting or is assigned to the United States temporarily; or
- A foreign citizen who is in the United States on one of the following nonimmigrant visa categories: B, E, F, H, I, J, L, M, O, P, or Q.
Learn more about your rights in the United States and protection available to you by reading the Legal Rights and Protections pamphlet.
Visa Renewal
Whether you are applying for the first time or renewing your visa, you will use the same application process (please review How to Apply , above). Some applicants seeking to renew their visas in certain visa classes may be eligible for the Interview Waiver (IW) which allows qualified individuals to apply for visa renewals without being interviewed in person by a U.S. consular officer. Review the instructions on the website of the U.S. Embassy or Consulate where you will apply to determine if the IW is available and if you qualify.
Do I need a visa if I have an ABTC?
Yes, you will still need a visa to travel to the United States, unless you qualify for the Visa Waiver Program . Having an Asian-Pacific Economic Cooperation (APEC) Business Travelers Card (ABTC) does not change visa requirements, your visa status, or the visa process for travel to the United States.
How can I use my ABTC when I apply for my visa?
If you have an Asian-Pacific Economic Cooperation (APEC) Business Travelers Card (ABTC), you might be able to schedule an expedited visa interview appointment. Review the instructions for scheduling expedited appointments on the website of the embassy or consulate where you will apply.
Visa Annotations for Certain Maritime Industry Workers
Certain foreign maritime workers are eligible to apply for a Transportation Worker Identification Credential (TWIC) once in the U.S. If you, as a maritime industry worker, will perform services in secure port areas, your visa must be annotated “TWIC Letter Received.” Workers whose visas are not annotated will not be permitted by the Transportation Security Administration (TSA) to apply for a TWIC.
In order for your visa to be annotated, you must obtain a letter from your employer explaining the need for a TWIC and that you are a potential TWIC applicant. See a template example of this letter. You must present this letter when you apply for the B-1 visa. You must meet all other eligibility requirements for a B-1 visa.
Complete information about the TWIC program is available on TSA’s website at https://www.tsa.gov/for-industry/twic .
Visa Denial and Ineligibility
Review Visa Denials for detailed information about visa ineligibilities, denials and waivers.
I was refused a visa, under Section 214(b). May I reapply?
Yes, if you feel circumstances have changed regarding your application. Review Visa Denials to learn more.
Misrepresentation or Fraud
Attempting to obtain a visa by the willful misrepresentation of a material fact, or fraud, may result in the permanent refusal of a visa or denial of entry into the United States.
Review Ineligibilities and Waivers: Laws .
Citizens of Canada and Bermuda do not require visas to enter the United States, for visit, tourism and temporary business travel purposes. For more information see U.S. Embassy Ottawa website , U.S. Consulate Hamilton website and CBP website .

Citizens of China
In accordance with the agreement signed between the United States and China to extend visa validity, beginning on November 29, 2016, Chinese citizens with 10-year B1, B2 or B1/B2 visas in Peoples’ Republic of China passports will be required to update their biographical and other information from their visa application via a website every two years, or upon getting a new passport or B1, B2, or B1/B2 visa, whichever occurs first. This mechanism is called EVUS - Electronic Visa Update System.
The EVUS website is now open to the public for enrollments at www.EVUS.gov . CBP will not collect a fee for EVUS enrollment at this time. CBP anticipates the eventual implementation of an EVUS enrollment fee, but does not have a time frame. Until the implementation of a fee, travelers can enroll in EVUS without charge. The Department of Homeland Security, Customs and Border Protection (CBP) will keep visa holders informed of new information throughout the year. For further information, please visit www.cbp.gov/EVUS .

Citizens of Mexico

- How to Write a Sample Invitation Letter for a U.S. Visitor Visa
Home » How to Write a Sample Invitation Letter for a U.S. Visitor Visa
July 25, 2021

There are various mandatory requirements to obtain a visa when visiting the United States. However, a letter of invitation from the American host is not one of them. The U.S. citizen or resident who will host the visiting B-2 visa holder may send a letter, but an invitation is not required. The letter cannot guarantee visa issuance, but it may be helpful in some situations. Many people feel more comfortable sending a letter, and we’ve provided a sample invitation letter for a visitor visa below.
Visitor Visa Requirements
B-2 visa applicants must qualify for the visitor visa according to their own circumstances, not on the basis of a sponsor’s letter or assurances. Based on the merits of the application and interview, a consular officer determines whether or not the applicant qualifies for a visa. In fact, to qualify for a B-2 visitor visa to the United States, applicants must meet the following three criteria:
Have a residence in a foreign country to which they will return to after their temporary visit;
Intend to enter the united states for a period of a specifically limited duration;, will go to the united states to engage in activities consistent with the visa., mistakes on uscis forms can cause costly delays or a denial., b-2 letter of invitation explained.
A B-2 letter of invitation is simply a letter written by the U.S. host to demonstrate that the visitor has a place to stay during the trip to the United States. Generally, the letter carries more weight if written by a U.S. citizen or lawful permanent resident. The letter should state that the host is willing and able to accommodate the visitors during the specified duration of the trip. The host may include specific dates or a general period in which the visitor is welcome. It’s also helpful to state if the host and visitor have family ties or are friends. There is no requirement for an invitation letter for visitor visa. Therefore, there are no hard requirements for the letter. With that said, a letter should generally contain the following:
- Host’s full name and contact information
- Guest’s full name and contact information
- Guest’s relationship to the host
- Purpose of the planned visit, including the event (if applicable) or places you will visit
- Duration the visitor will stay with you or where you’ve made arrangements for him or her to stay
- Financial arrangements to cover the guest’s expenses during the visit (if applicable)
- Signature of the host
Write the letter in your own words, but try to be as specific as possible. We’ve included a sample invitation letter for a visitor visa below.

Stronger Evidence to Support a B-2 Visa Application
For visitors that are currently unemployed, don’t have property and generally lack financial assets, it can be more difficult to demonstrate strong ties to their home country. In these cases, immigration officials become concerned that they will try to stay in the United States. A Declaration of Financial Support can help remove this doubt.
Known as Form I-134, Declaration of Financial Support , the form shows that someone in the United States is willing to take financial responsibility for you. If you can prove that you are financially independent or are employed in your home country, you typically don’t need a Form I-134.
Form I-134 is a reassurance by the U.S. supporter to step in and assist if you unable to pay your expenses during the course of your U.S. visit.

Visa Appointments
Do you have friends or families coming to the U.S. who need to apply for a visa? Or do you have a partner living overseas who would like to come to visit you?
Many U.S. citizens and U.S. residents wish that their friends and family could visit them in the U.S. First; however, family members or friends must apply for a visitor visa. And a letter of invitation can assist in the visa application process.
Though the visa invitation letter does not guarantee visa issuance, it can be helpful in many circumstances. So let us look at how you can write a compelling letter of invitation that would assist your family members with their visa applications.
If you wish to visit your friends and family members living in another country and need a visa. Then you can apply for your tourist visa in a few easy steps and in a hassle-free way on Atlys .
A visa invitation letter or sponsorship letter is written by a U.S. citizen or U.S. resident as a formal invite for their friends or family members to the United States Citizenship and Immigration Services (USCIS). A visa invitation letter is not a mandatory visa requirement. However, this letter can help the U.S. embassy or consular officer better understand your relationship with the applicant and the purpose of the visit.
You must convey your relationship with the applicant truthfully to the consular officer in the letter of invitation. Therefore, you will be able to accommodate them and that the applicant will return to their home country before their visa expires. In addition, you must clearly state if you will financially support the applicant during their entire stay in the U.S. and that you have the funds to do so.
The applicant must meet the visa requirements and go through the visa interview to be granted a visa. They must prove their strong ties with their home country, their intention of returning to their country, and only visiting the U.S. to spend time and see their family or friend. The applicant must convince the USCIS officer that they wish to stay in the U.S. temporarily and do not wish to take up residence in the country.
Disclaimer: A visa invitation letter does not guarantee an applicant's visa application.
A visa invitation letter can be helpful to a person who wishes to visit their friends or family and need to apply for a tourist visa. Your friends or family living in the U.S. can supply you with an invitation letter to assist you in your visa application.
If someone is sponsoring your trip, they can provide additional documents and send you a visa sponsorship letter. Then, when applying for your visa at the U.S. Consulate, you can attach this letter with your application.
The visa invitation letter must have all the details of the host in the U.S. and the applicant in the foreign country. While writing the invitation letter, ensure that you are not missing any details and the letter is concise yet detailed.
The host in the U.S. must include the following details in their visa invitation letter:
- Date of Birth
- Full address
- Contact information such as phone number and email address
- Status in the U.S.
- I.D., passport, or green card number
- Photocopy of the I.D., passport, or green card number
The host must include the following details of the visa applicant in the invitation letter:
- Applicant's relation to the host in the U.S.
- The purpose of their trip
- Applicant's length of stay in the U.S. with specific dates
- Mentioning if the host will be responsible financially for the visa applicant while in the U.S.
- Applicant's accommodation details
- Host's signature and date
Ensure that your visa invitation is thorough and has all the sponsor's details. In addition, it would be beneficial to add supporting documents and a visa invitation letter. You can send the following documents to your friend or family member to print and attach to their B-2 visa application:
- A copy of your passport, I.D., or green card
- Proof of sufficient funds such as your bank statements (if funded by the host in the U.S.)
- You can also attach a Declaration of Financial Support or USCIS Form I-134
- Proof of residence such as your home address, a rental contract, etc.
- Students can supply the applicant with their enrollment verification letter or a copy of your transcripts
- The applicant must attach the other required documents for their visa application
While writing, remember to add all the relevant information that would make the visa invitation letter compelling. The below-mentioned visa invitation letter is only for illustration purposes. You can use the sample to write your invitation letter with additional information that would assist the applicant in their visa application process.
While writing, you can address the U.S. Consul General, the U.S. Embassy in the applicant's country, the U.S. Consular Officer, or the person visiting the country. You must also check that all the spellings, dates, and information is correct.

50 Sample Letter of Introduction for Visa Application
An introduction letter is a one that is intended to introduce an entity, its characteristics, and the goal of the business that an individual or an organization wishes to offer to another person or establishment.
It is one document that may be required as part of the visa application materials for those applying for a visa. A letter of introduction is merely a letter to the embassy from your employer or the head of an educational institution. It must be typed and addressed to the embassy on letterhead.
The criteria governing an introduction letter can vary from one embassy to the next or depending on who is applying for it, such as a student or an employer.
Students applying for visas must demonstrate that they are still enrolled in school, and adding a student ID in the application is insufficient to demonstrate that they are still enrolled. The only document that can prove that one is still in school is an introductory letter from the institution.
The school’s letter of introduction must be addressed to the Visa Section of the embassy in question. Also, an Introductory Letter from an educational institution to support a student’s visa application must include but are not limited to the following:
- Student’s name
- Student’s ID number, Passport Number or Date of birth
- Student’s program of studies
- Student’s level/class/year
- Why the school has no problem with the student’s travel (usually because the school will be on vacation)
- Contact details of the school (usually if different from what’s on the letterhead)
- Name, signature and position of the person responsible for issuing such letters
If you are a visa applicant who works for a firm, you will need an introduction letter from your boss. The No Objection Certificate is another name for this type of introduction letter.
A Director, Human Resource Manager, or any other person designated to issue such letters on behalf of the organization issues introductory letters to employees for visa purposes. Employee introduction letters should include, but are not limited to, the following;
- Employee’s name
- Employee’s Date of Birth or Passport Number
- Employee’s Position
- Date of employment
- Employment type (permanent, contract, part-time)
- Remuneration
- The reason why the company has no problem with the travel (usually because the employee is on leave). Or state that your company will be financially responsible for you while travelling and for your return transportation to the USA
- The earliest possible date of departure (if you may travel at any time, indicate an approximate date)
- Contact details of the company (usually if different from what’s on the letterhead)
- The letter must specify the validity of the visa and the number of entries the applicant is requesting. If this is not specified the consular officer will issue the visa at their discretion.
- Name, signature and position of the person responsible for issuing such letters.
Below are some samples and templates for student and employee letters of introduction for visa application.

After reading this simplified style, I believe you will be able to tell the difference between a letter of introduction to the embassy from an employer and one from the head of a higher education institution.
Most companies have a letter of introduction structure with the HR department, but some medium-sized companies don’t, and you can be asked to assist them with the format. This post will undoubtedly make the process easier for you to complete.

What is an invitation letter for visa application?
When you search for instruction about Chinese Visa Application Requirements online, you will find out a letter of invitation is often mentioned. As required, the letter is one of the principal supporting documents you should submit to the Chinese Embassy or Consulate for visa reques t. The letter will help to explain the reason why you will visit China and give details about the planned visit.

An invitation letter is mandatory required when applying most types of Chinese Visa, such as China Crew (C) Visa, F Visa, Business (M) Visa, Work (Z) Visa, Family Reunion (Q1/Q1)Visa, Private (S1/S2 Visa), etc.
China Tourist Visa and Transit Visa are two exceptions. With confirmed connecting flight ticket, an invitation letter is not required for Transit Visa. Since the letter is submitted for visa application to embassy and consulate, being official/formal with proper etiquette is always the No.1 rule. Except the main body, a complete visa invitation letter should cover more elements, including the heading , greeting ( opening salutation , the title of embassy name, embassy contact information), complimentary close, signature & official seal , writer’s contact information, date when the date was written and enclosures.

The letter must be paper form, and it could be computer print-out, handwritten letter, or in scanned copy or fax. The accurate format may vary slightly by different inviting individual or entity.
What to Include in the China Visa Invitation Letter?

How to Write a Cover Letter for Visa Application

What is an Invitation Letter for Visa Application?
An Invitation Letter for a visa application is a letter that the applicant has to submit to the embassy or consulate where they are applying for a visitor visa.
This document is written by the applicant’s host and addressed either to the applicant or to the consular officer, confirming that they will accommodate the applicant in their home for the whole period of their stay in the country where the host lawfully resides.
What are the Requirements to Write a Letter of Invitation?
The host must fulfill the following requirements in order for the letter of invitation to be valid:
- must be a citizen or lawful permanent resident of the country you plan on visiting
- must be your friend, boyfriend / girlfriend or family member / relative
- must have a registered place (home, flat)
- must have enough room for the applicant
The Letter of Invitation is not required by every embassy in the world, but it is strongly recommended to submit one even if not required.
How to Write a Letter of Invitation for Visa Application?
To many it might sound confusing, but writing a letter of invitation might be the easiest part of your visa application, if you have rightly understood what it serves for. The letter has to be written by the guest and addressed either to you or to the consular officer. Some embassies have their own invitation form, therefore, make sure to check about it when you get the checklist of visa required documents. If they already have a form, then your host will only have to fulfill the empty spaces with the right information.
But even if they do not, below we have listed some samples which you can use by replacing the information according to your case.
When writing an invitation letter, the main thing the writer has to keep in mind, is that the letter must include some important details, of the host and the guest. The letter must contain the following information about the host:
- Date of birth
- Telephone number
- Type of home (owned / rent house / flat / room)
- Host’s status in the host country (If the host is residing in that country a work visa, student visa, permanent resident, or is a citizen or any other legal status)
On the other side, the letter must also include the following information about the guest:
- Full name as shown on their International Passport
- The person’s address and telephone number
- Relationship between the host and the guest
- The purpose of the trip (friendly visit, holiday, wedding, birthday party.)
- Exact entry date and exit date
If the letter is addressed to the guest do not make it sound too official. It is better if it sounds more personal and friendlier rather than formal, so that the consular officer can have a better sight of the relationship between the host and the guest.

Letter of Invitation Supporting Documents
As mentioned above, in many embassies the Letter of Invitation is not a requirement, therefore the host is not obliged to send other documents alongside with it. Still, even if the letter is a requirement or not, it would be very thoughtful if the applicant submitted any of the following documents alongside with the Letter of Invitation:
- A scanned copy of host’s ID / passport
- Evidence of means of subsistence (if the host will financially support the guest)
- Proof of home / flat ownership or rental contract
- An Itinerary of the places planned to visit together
- If the host has taken days off from work to be with you during your period of stay in their country, then submitting a document that proves that would be in your favor
Where to Submit the Letter of Invitation?
The letter is submitted by the guest at the embassy or consulate along with the visa document file. The host must scan it and send it to the guest, who will later submit it with the other supporting documents on the day of their appointment at the embassy or consulate.
Letter of Invitation Samples
A fixed method or style of writing an invitation letter does not exist. It is up to the writer to decide what he or she wants to include in their letter. As long as the letter contains the above listed details among others, then the letter is just fine.

SAMPLE COVER LETTERS for VISA APPLICATION: Korea, Schengen, Australia

Employment certificate, financial documents, and income tax return (ITR) are the staples of most visa applications. But there is one document that is usually overlooked — the cover letter.
A cover letter isn’t always a requirement when applying for a visa. However, it’s something that we often recommend to add to your pile of documents, especially if there is no interview and you have some explaining to do.
You see, sometimes, things don’t always fit the mold perfectly. There are cases wherein you can’t provide the exact document needed, but you have a very good alternative. Or maybe you just can’t provide something at all, but you have a perfectly valid reason. Or perhaps you’re traveling with a group or for a special purpose. These instances could probably benefit from a well-crafted explanation to give the visa officer a clearer picture of your situation.
When I apply for a visa, I usually submit a cover letter regardless of whether or not it’s one of the requirements. I always want to give a summary of my application and clarify some aspects that may be prone to misinterpretation.
WHAT'S COVERED IN THIS GUIDE?
What should be in a cover letter?
For me, a good cover letter must be able to provide the following:
- A short introduction about yourself.
- Your travel dates and the purpose of your trip
- If traveling with a group: your companions and your relationship with them
- If sponsored: your sponsor’s name, your relationship with them, and the reason why they are willing to sponsor you
- If you’re missing some requirements: the reason why you won’t be able to provide them and the alternatives you are submitting instead
- If applying for a double entry or multiple entry visa: the reason why you need to be allowed more than one entry
- A quick rundown of the destinations you will be visiting
- A quick summary of your travel history (if any), highlighting that you have NEVER violated visa rules in the past
- A promise to return to your home country in time
Looks like a lot, huh? But here’s the thing: According to a couple of friends who used to work as visa officers at strict embassies, they usually had very little time to assess each application. Hence, if you’re going to make a cover letter, go straight to the point . One page should be enough. The key is being concise — finding the balance between giving enough information and keeping it short and sweet.
Here are some samples. I intentionally used complicated situations to give you an idea how I usually explain them. If they don’t apply to you, feel free to modify these to match your case. Please use this only as a model for your own cover letter. Please do not copy-paste the whole thing without adjustments.

Individual artistes or groups require a valid work visa to enter the United States to perform. The Consular Section reminds all visa applicants that working on a B1/B2 visa is prohibited, and taken very seriously as a violation of US immigration law. Working on a B1/B2 can lead to revocation of existing visas, and will impact your future eligibility for non-immigrant visas.
How do I apply for a visa to perform in US?

Dear Consul,
I am a new artiste and I have been approached to perform in New York City in September. Will I be able to apply for the visa now?
To obtain a temporary worker visa, your potential employer/promoter in the United States must first file a temporary worker petition on your behalf. Petitions are filed through the US Citizenship and Immigration Services (USCIS).
Once the petition is approved, you will receive an approval notice. Only after this notice is received can you then proceed to apply for the relevant non-immigrant visa at the Embassy.
For detailed information about the non-immigrant visa application process, please go to the official Information and Appointment website: http://trinidadandtobago.usvisa-info.com .
Non-immigrant visa applicants are required to complete the DS-160 electronic application form, register for service online, pay the application fee in person at a local Scotiabank, schedule an appointment, and attend a visa interview. The accuracy of the information on the DS-160 is your responsibility, regardless of who actually types in the information. Therefore, review the questions carefully and respond truthfully.
Avoid scams by not providing information or funds to online vendors or persons purporting to represent the Consular Section who say they can influence the visa process. If you have any concerns or require clarification at any stage of the process, please e-mail the Consular Section at [email protected] .
Current wait times for performer visas are less than a week. In the rare situation you select an interview date that is after, or less than two weeks before your proposed travel date, you can submit a request to have the appointment(s) expedited. These requests are submitted via the online applicant profile.
If a visa is approved on the day of the interview, passports are returned in seven to ten working days. While the Consular Section may approve an expedited appointment request, visa processing cannot be expedited.
To avoid delays and assist our security personnel and greeters with check-in for your visa interview, place your application documents and forms of identification in a clear plastic folder. Weapons, cellular phones, other electronic devices, wallets, bags and liquids are not allowed into the Consular Section waiting area. These items should be secured elsewhere prior to your arrival.
For more information on the non-immigrant visa application process, please visit trinidadandtobago.usvisa-info.com .

How & When to Write a Visa Letter of Invitation to a Friend or Relative Coming From Abroad
A visa letter of invitation should be personal, but contain assurances to the u.s. government that the foreign visitor will be staying for a limited time, and ideally have financial support..
If you are a U.S. citizen or lawful permanent resident, and you have a friend or relative who seeks to come to the U.S. as a tourist ( on a B-2 visitor visa ), you might be able to help the person by providing a letter of invitation. Whether the person will be visiting a U.S. consulate and applying for the visa or already has a visa, but will still need to get past U.S. port or border guards, it can help smooth the way.
It's important to realize, however, that such a letter is not a requirement, and might as easily be disregarded by the U.S. officials considering whether to grant your friend U.S. entry. Ultimately, that person will need to convince U.S. officials that the visit to the U.S. will not be a permanent one, and that the other visa eligibility criteria are met.
What Challenges an Invitation Letter to a Foreign Visitor Might Overcome
Getting a U.S. tourist visa can be challenging, because the U.S. government is worried about the number of people who use these as a way to enter the U.S. and then never leave, or who overstay by days, months, or years .
The aim of your invitation letter would be to help show the U.S. consular officer who considers the visa application that the person has a specific plan regarding visiting (and eventually leaving) the U.S., perhaps has a place to stay, and will not need to find work in order to support him- or herself while here (if, that is, you plan to offer financial backup or support). Also see Reasons a U.S. Tourist Visa (B-2) Could Be Denied .
What to Include in a Letter of Invitation for a Foreign Visitor
This should be a personal document, not something like a lawyer would write, so don't stress over making it sound official. Make sure to include both your and the recipient's name and full address, for example using the format shown below.
Also be sure to cover:
- the purpose of the planned stay, including what places you will visit together
- how long the visitor will be staying with you or where you've made arrangements for accommodations
- whether you will be covering transportation to and from the United States, and
- how much of the person's expenses in the U.S., if any, you plan to cover.
Be as specific and detailed as possible. Below is a sample letter for you to use as a guide.
Sample Visitor's Visa Invitation Letter
Jim and Madeline Newton 114 Lime Grove Montego Bay, St. Mary's Parish Jamaica, West Indies
Subject: Invitation to visit me in the U.S.
Dear Mom and Uncle Jim:
I would like to extend this invitation for you both to come and visit me in the United States for three months. It sure would be nice to see you both. During your stay we will take two weeks and go on a road trip to various places such as Philadelphia and New York City.

The article that follows will make it easier for you to draught your own cover letter for Dutch visa by emphasizing its importance in relation to Netherlands Schengen visa’s and providing samples.
What Does a Covering Letter Do When Applying for Visa?
Addressed to the Dutch consulate, a cover letter—often referred to as a visa letter—includes a justification for your trip to Netherlands. It must include information such as how long you want to remain, your bank account information, and copies of any other crucial documents. You must persuade the visa officer in your cover letter in order to get a visa for Netherlands.
When you are applying for a Dutch Schengen Visa, your cover letter must include a detailed itinerary for the entire length of your stay in the Schengen region. You must also include all additional Schengen countries you plan to visit in your cover letter.
A cover letter’s content needs to be customized for each applicant because it differs depending on the visa application. If you want to apply for a visa, you cannot use someone else’s cover letter without making significant changes to fit your unique situation.
Because of this, we advise that you read through each sample (which is provided in the parts that follow) before writing your own cover letter on a blank page (or having the BlinkDocs App create one for you!! ).
Your covering letter for a Schengen visa will be your first point of contact with the Embassy.
Your cover letter will be put on top of all of your visa-related documentation. This is so that the visa consulate can completely understand your application and decide whether or not to grant your visa before looking at any other pieces of supporting evidence. Also, you can communicate with a visa officer right on this website.
By being precise and clear in your visa application while staying impersonal, you can profit from this. A qualified visa consular will be able to make a quick decision regarding whether to grant or deny your visa based on the information in your cover letter.
What Information Should Be Included In A Cover Letter When Applying For A Schengen Visa?
The following information must appear in the correct order for maximum impact in a cover letter for a Schengen visa:
- The location of the Dutch consulate for Schengen that is most conveniently located online.
- Include in the subject line exactly what kind of visa you are requesting.
- Based on the start and end dates of the trip, it appears like there are additional days in Netherlands.
- The purpose of your trip, which helps the visa officer understand your goals.
- Information about the source of the trip’s funding. This can be the applicant, the applicant’s spouse, a visitor, or a company.
- The letter might also be used to support the accommodations.
- Itinerary for daily travel within Netherlands; Schengen business or tourist visa. Sports, medical care, and visits do not require visa’s.
- To assess an applicant’s financial stability, the visa officer will need information about their career and business experience.
- A summary of the supporting documents submitted with the visa application, enabling the immigration officer to assess all relevant information.

Surefire Ways to Write Letter of Invitation for US Visa Application with Real Samples
HOW TO WRITE A LETTER OF INVITATION FOR US VISA
By Deb Pati last updated on October 16, 2020
There was a time, a simpler time, when I used to think that a letter of invitation wouldn’t change a thing. Long before I got that wanderlust that singers sing about and bloggers blog about, and needed to apply for visas.
Now, after having travelled and lived in many countries, and many conversations with people with powerless passports like me, I have come to the understanding that they make a difference.
And if you are traveling to the USA, a letter of invitation for US visa is no doubt helpful and can often add a lot of weight to your application. That being said, a letter of invitation, by itself doesn’t guarantee the issuance of a visa to the applicant.
You still need to fulfill, the US visa requirements such as proof of funds and strong ties to your home country.
This article refers to a US visitor visa invitation letter only. The template can be used for a B1/B2 visa or even a student visa, but not for a US business visa.

When Do I Need to Provide a US Visa Letter of Invitation?
If you are a US citizen or legal resident, chances are that you want your friend, parents, partner etc. to visit you in the United States. Now if this said person needs a visa to visit the USA, you can help them by writing a letter of invitation for US visa.
You need to write this letter before they submit their visa application. When the applicant submits the documents at the U.S. consulate or Visa Application Center, this letter can go along with the application.
Sample Invitation Letters for US Visa for Tourism
The thing is, there are many ways to write a letter of invitation for US visa. Depending on the relation between the host and guest.
The thing to remember is that the host/sponsor must address a letter to the US consular officer and another one to the US visa applicant.
Here are some examples of invitation letters for visa, that are pretty common.
1. Sample US Visa Invitation Letter for Parents
Writing a US visa invitation letter for parents is probably the easiest and safest. Here is an actual letter written by a friend to invite his parents to the USA.

2. Example of Invitation Letter for Friend
An invitation letter for US visitor visa for friend can be written like this.
[Date] [Host’s name ex- Bob Vance] Address: Phone number: Passport number: Email: To: [Friend’s name] [Friend’s passport number] [Friend’s address] Dear [Friend’s name e.g. Vladimir], So happy to know that you finally decided on the trip to the USA. It would be an honor to invite you to come and host you during your trip from [Date range]. During this time we can visit the statue of liberty, and other famous landmarks in New York. And we can plan to go for some road trips in the tri-state area. I would also like to add that, I will be responsible for your entire USA tour expenses, including the round trip flights, housing, food, and any other personal expenses. I am sending a copy of my passport and rental lease with this letter, to help you with your US tourist visa application. Love, [Signature] Bob Vance
3. Sample Letter to Consulate for Visitor Visa
Your Visa Invitation letter to the United States Consul should look like this.
15/02/2020 Consulate of the United States of America, Bogota, Colombia Dear consular officer, Good day! My name is Christine Bundy. I am a citizen of the United States and I live in 12, Mountain Drive, Portland, OR-97206. I have been working as a teacher at Mountain View High school in Portland for the last five years. I am writing this letter to request you to grant a B-2 tourist visa to my friend Daniela Romero, a citizen of Colombia with passport number AL123456. I have known her for two years. I met her when I was living in Colombia and she took it upon herself to introduce me to her culture, and that’s how we became friends. Daniela will be visiting me in Portland from 08/02/2020 to 11/06/2020, for a period of almost three months. During her stay in the United States, she will stay with me at my home at the address stated above. Daniela will be presenting my letter to you, along with a copy of my driving license as well as other proof. Thank you for your kind consideration. Respectfully yours, Christine Bundy, 12, Mountain Drive, Portland, OR-97206, 203-992-1098 [email protected]
How to Write US Visa Letter of Invitation?
It might seem like writing in ink gives your letter a more personal touch. You are not entirely wrong. It does. But, if we have learnt anything from the boomers and the generations that followed before computers became the norm, it is that handwritings are not often legible. No matter what your mom told you.
So, I would ask you to go ahead and simply type the letter on a word doc (or Hemingway app if you are feeling adventurous), sign it and scan it.
And while writing the letter of invitation for US visa, you must be very very careful about all these things. Under no circumstances should the consular officer get a hunch that it is fake, even if it is not.
A good US Visa invitation letter has three parts usually. It should not be more than one page and should not have any unnecessary information.
A letter of invitation for US Visa should be personal. So, no need to make it sound as if it was written by an attorney.

Is Letter of Invitation Mandatory for a US Visa?
No it is not. But see, applying for a U.S. visa can often be a not-so-pretty experience, with all the documents and the strict approach that USCIS has adopted.
A US visa invitation letter can smooth the entire process. This letter also demonstrates that as a citizen or legal resident, you, are willing and able to host them in your home and financially support them. And that the probabilities of them overstaying is lower.
Additional Information When Writing a Letter Of invitation To USA
Yes, the invitation letter that you have written has turned out to be the coolest thing you have done since the last Tik Tok challenge. But if you are a little thoughtful and really want to go the extra mile, how about these documents as well?
- Proof of Identity: A scanned copy of the host’s ID or valid passport.
- Proof of accommodation: proof you, the host has a home. Rental agreement or proof of ownership will do the trick.
- Evidence of funds: Bank statements and credit card statements etc. if you will be financially supporting that person.
- An Affidavit of Support: Only in case the host will be financially supporting the guest, then he/she can submit an affidavit of support for the application. You can fill in the USCIS Form I-134 for this.
Would I Be Liable for my Guest’s Overstay in USA?
Now, that’s a million dollar question. Well, not million dollars! Duh!
So you sent the invitation letter for a friend or cousin. And he/she got a visitor visa to come to the US. You also sent her an affidavit of support in order to back up the invitation.
Now that person has fallen in love with the American dream, and doesn’t want to move his/her ass out of the United States.
Now you have one of these questions.
- Would you be legally responsible to turn her in? Call ICE?
- Would you need to financially support her since you mentioned that in the letter?
- How about just peace out and ignore him/her?
I am no attorney, but I will tell you this. What your “friend” does once he/she sets foot in the USA, that is not really your problem. The ICE or the FBI or the police have bigger issues to worry about.
Once the visa was issued by the consulate, you won’t have to worry about this stuff.

The letter should be included when filing the other required forms at the U.S. consulate/Visa Application Center. The letter would be typed or written in ink although typing it is better overall.
