How to format and write a cover letter for customer service in 7 steps

When writing your cover letter, it’s important to communicate the information that defines you in the right way. A strong structure for your cover letter can keep your points organized so the hiring manager can quickly and easily see what sets you apart.
Follow these seven steps to help you write your customer service cover letter.
Step 1: Write a title and header
The title of your cover letter should include your name and be specific to the job you’re applying for and the company you’re sending it to.
For example, you can format the title of your cover letter like this:
[Position X] : [Company Y] | [Name] or Customer Service Representative: Tutone Ink | Jenny Heath
Next, create a header to add your contact Information:
- Your full name
- Phone number
- Your email address
- Links to your professional social media profiles (LinkedIn)
- Personal website (optional)
Make sure your email address and any social media links you include are professional. Listing your “[email protected]” email address from 2003 doesn’t make the best impression on a hiring manager.
Providing your (up-to-date) LinkedIn profile is all you need when it comes to social media—unless another social media profile showcases skills that align with your desired role.
Step 2: Start with a greeting
Start your customer service specialist cover letter by addressing the hiring manager by their name—personalization helps you stand out more, especially if you need to do research to find the name.
If the job posting doesn’t include the hiring manager’s name, you can check out the company’s website—or pop over to LinkedIn and search for the company. From there, you can see the employees who are on LinkedIn to find the most relevant contact.
If you don’t find that information, try using something like “Dear Hiring Manager” or “Dear Recruiting Manager.”
Step 3: Grab attention with your introduction
Following your greeting, the first paragraph should do four things. You’ll want to:
- Introduce yourself
- Show your interest in the position
- Explain why you’re a good fit
- Say it in a compelling way
The last point is the most important and can feel the most challenging. But simply offering a statement of your experience and your expertise—and then backing it up with some proof—can raise eyebrows.
For example:
Dear Mr. Chips,
I’m thrilled to offer my eight-plus years of seasoned customer service experience to Tutone Ink for your customer service representative position.
Step 4: Impress with your second paragraph
Every job requires a range of skills . This is why it’s important to show you’re a well-rounded candidate. Describe how your past experiences evidenced your soft skills, like your ability to problem solve and collaborate with others.
Also give examples of your hard skills, such as experience with specific customer service software like Zendesk .
- Grab attention by highlighting two or three of your top achievements
- Include data and stats to show the impact of your work
- Mention the most relevant hard and soft skills
- Summarize your work experience
Step 5: Relate to the company in the third paragraph
In this section, explain why you want to work for the company. Do your research and provide detailed reasons to show the hiring manager that you’re serious.
This is another great opportunity to reiterate why you’re the perfect candidate and a good fit for the job.
Step 6: Leave them wanting more with your conclusion
Finally, in the last paragraph, you’ll want to thank the hiring manager for their time and consideration. You can also summarize your interest in the position and your commitment to the next stages of the hiring process.
Include an attention-grabbing call to action, too. You can even inject some personality and humor into it to leave them wanting more.
Step 7: Use the appropriate formal closing
Always close on a formal note. Examples for your closing include:
- Best regards
- Kind regards
Here are a few best practices to keep in mind while writing to make your customer service cover letter shine.

Include an elevator pitch
In the second paragraph of your cover letter, explain in a few sentences:
- What makes you a good fit for the position
- Why you’re excited to join the company
- How this position matches your career goals
Showing excitement about the role is key. Think about it from the hiring manager’s perspective —lukewarm candidates who are just looking for a job are less likely to stand out.
Make it scannable
Hiring managers are busy, so they won’t want to dig through long, dense paragraphs packed with unnecessary information. Keep your cover letter brief and cut the fluff.
Ensure your cover letter is easy to scan—draw attention to the most important points you want the hiring manager to see by using:
- Bullet points
- Subheadings
You can also format your cover letter in a way that mirrors the unique aspects of the company. For example, if you research the company and find that it has a vibrant, creative culture, don’t be afraid to experiment with outside-the-box elements like colors, designs, and playful fonts. (But never, ever use comic sans).
Tell a story
Your cover letter shouldn’t just repeat what’s in your resume. Use this opportunity to provide more context and to describe one of your success stories as a customer service agent.
Pick a certain project or experience where you demonstrated specific skills mentioned in the job description. Cover letters are a great way to showcase your passion and who you are as an individual.
Whenever possible—and especially when highlighting your accomplishments—include data to support your claims. For example, if you performed particularly well in a previous customer service position, make sure you quantify that by mentioning your fast resolution times or your overall satisfaction score.
Using hard numbers and metrics will illustrate your impact and give you an edge over your competition.
Show your passion for customer service
Aside from highlighting your customer service skills and experience, express your enthusiasm for the industry. The hiring manager is looking for a long-term employee who can grow with the company. At the end of the day, they want someone who’s passionate about customer service and eager to deliver top-notch experiences.
A cover letter should reflect your drive as a candidate. Attention to detail is a core skill for any job, and ensuring you have an error-free cover letter is a must. Use tools like Grammarly to double-check your spelling and grammar.
It’s also a good idea to ask someone else to proofread your cover letter, in case there are mistakes you missed. There’s no worse feeling than noticing an error seconds after you hit send—having a fresh pair of eyes to review your cover letter can save you from that easily preventable horror.

While it’s essential to have a thorough resume that summarizes your core competencies, a customer service cover letter is your chance to show off your personality and pitch your potential to the hiring manager. Don’t let it be an afterthought—it deserves just as much attention as your resume.

How to write your customer service cover letter in 2023
Learning how to put together a cover letter for the specific job(s) you want will help you land more interviews.
To land a good job as a customer service representative in 2023, you’ll need a great cover letter to make your job application stand out to employers. The demand for customer service professionals is projected to decrease by 4% through 2031 as the industry implements AI technology that reduces the need for human workers .
But even though the number of available jobs may decrease, you can still get a customer service gig as long as you know how to write a great cover letter.
Here are three tips to help you write a customer service cover letter that convinces employers you’re the right person for the job:
1. Highlight your customer service skills
As a customer service specialist, you need both hard and soft skills to do the job effectively. Your hard skills are abilities you learned through training, such as customer service chat software. Whereas soft skills are personality traits that help you manage your work and interact with others.
The best customer service representatives use soft skills like patience and empathy to relate to customers, and know how to be persuasive without seeming pushy.
Here are some customer service skills to include in your cover letter to get employers interested in your application:
- Active listening
- Communication skills
- Public speaking
- Ability to use positive language
- Professionalism
- Interpersonal skills
- Responsiveness
- Time management skills
- Critical thinking skills
- Problem solving skills
- Adaptability
- Fast learning
- Clerical skills : Microsoft Excel, Google Sheets, typing, basic math
- Remote communication skills : Zoom, Microsoft Teams, Google Meet, Slack
- Pandemic safety protocols : personal protective equipment (PPE), social distancing, temperature checking
2. Give examples of your achievements (with hard numbers)
Show employers you have the right customer service skills to excel by giving examples of your accomplishments in your cover letter. And use numbers wherever possible to give employers a clear picture of what you accomplished.
Here are good examples of some customer service achievements in a cover letter backed up with hard numbers:

Even if the job description asks you to write a simple, short cover letter , you should include hard numbers to make your application stand out.
3. Show your passion for customer service
Customer service employers prefer to hire candidates who are passionate about ensuring every customer has an excellent experience. Companies also want to work with people who are genuinely excited about their brand — a fact that’s especially true for customer service specialists who speak directly to clients.
Use your cover letter to show employers that you truly care about your work, and that you’d be a great brand representative. Here are three strategies for conveying passion in your customer service cover letter:
Storytelling
Consider opening your cover letter with a storytelling approach to connect a personal passion to the company or role. Don’t sell yourself too hard, though. Sounding too “salesy” is the easiest way to turn off an employer.
Here’s an example of an over-the-top storytelling opening, followed by a more appropriate rewrite:
ChocoChunk candy bars are all I ever eat. Seriously, I’m on the verge of developing diabetes as a direct result of my love for your products. But I don’t care. I’d rather eat your delicious chocolatey goodness and die happy than cut it from my diet — and that’s why I’d be a perfect ChocoChunk Retail Sales Representative.
Appropriately passionate
Every Christmas and Easter when I was a kid, my parents gave me ChocoChunk candy bars. Your delicious offerings have a nostalgic place in my heart, and they’re still my go-to sweet treat. True appreciation for your products and my customer service experience make me an ideal candidate for your open Retail Sales Representative position.
Research-based
The best cover letters include research about the company. Check your target company’s website and social media accounts, and find a way to connect your talents to the company’s vision and values, like this:
I’ve been keeping up with JaneVision’s recent rebranding, and I believe I’m the perfect candidate to help you on the front lines as a Customer Service Specialist. My current company implemented a similar repositioning strategy in 2020, and I led a special task force responsible for explaining our rebrand to customers.
Be authentic but also use persuasion in your cover letter. Think about how you’d close a sale in person, and use the same techniques to make your cover letter for customer service work. Keep your tone personable, but focus on addressing the company’s needs and offering the best solutions to their problems.
Here’s an example from a persuasive cover letter ending :
Your job ad said you’re looking for an “individual with a passion for helping others understand new social media technology.” Considering the skills and achievements outlined above, I’m confident I’m the perfect match for this particular role. I’m excited to connect with you and discuss my qualifications further in a Zoom interview or in person.

How do you format your customer service representative cover letter?
Market yourself successfully and outshine the competition with a well-formatted cover letter. All cover letters follow this exact format to keep your information well-organized:
- Contact information
- Today’s date and the company’s address
- Salutation with the recruiter’s name
- Introduction paragraph
- Body paragraphs
- Final paragraph and a call to action
Polish your document off by formatting with single spacing and setting the margins to be between 1 inch and half an inch. Then, choose from these recruiter-approved font styles, ensuring to use a 10-12 point size: Arial, Times New Roman, Calibri or Georgia.
Finally, ensure that the cover letter doesn’t exceed one page in length (between 250 to 500 words) and that the text is aligned to the left (not centralized or justified).
What can you include in your customer service representative cover letter?
Recruiters will want to know how familiar you are with the company and how you can contribute to their customer service. Use your first paragraph to introduce yourself as a qualified customer service representative for the role.
In your second paragraph, showcase how your background and experience can contribute to an increase in sales, customer retention or satisfaction. Ideally, address the specific goals of the role you’re applying for and how you can meet their expected results or better. Include impressive data or statistics and how you have delivered results previously.
Your final paragraph should recap your qualifications and include a call to action inviting them to schedule an interview with you. Let the employer know that you plan on following up. Then, thank them for their time and sign off.
Remember, don’t just tell them you’re right for the role; instead, build on details from your resume by narrating your achievements.

If you're hoping to land an interview for a customer service job, you need a cover letter that demonstrates the customer service skills and experience required for the role. To find out which qualifications are most important, analyze the job listing, paying close attention to the keywords in the description.
What you read may surprise you. Contrary to popular belief, not every customer-facing role requires extreme extroversion. Empathy, tact, and communication skills may be more important for success. Knowledge of specific products and software packages may also be useful.
A good cover letter will hook the hiring manager's attention and demonstrate the value you'd bring to the role.
Here's information on what to include in a cover letter for a customer service role, how to format the letter, a template to download, and examples of cover letters to review.
What to Include in a Customer Service Cover Letter
- Demonstrate your specific customer service-related skills and experience. You're trying not only to get the hiring manager's attention but to indicate that you understand what is required for the role.
- Highlight soft skills like listening, conflict resolution, empathy, and depersonalization (i.e., the ability to provide caring customer service while not telling the customer your life story).
- Include hard skills like software programs specific to the job.
How to Format a Cover Letter
A cover letter for a customer service job should also have all the usual elements of a good cover letter, including:
- Contact information: your name, address, phone number, email address, and so on.
- A salutation : Ideally, follow your greeting with the name of a contact at the company – either the hiring manager or a representative from human resources. If you do not have a contact, you can leave off the salutation, or include a general one, such as "To Whom It May Concern."
- The cover letter body, including a grabby first paragraph that draws the reader in and hooks them with your skills and experience, and supporting paragraphs that show that you know what the company is looking for and that you can provide it.
- A closing paragraph , summarizing your skills and how you'd use them to solve the company's problems and contribute to its success.
- A closer, e.g., "sincerely" or "best regards." Here's more information on how to close a cover letter, with examples.

- Choose an appropriate subject line for your email cover letter. To avoid your message getting stuck in a spam filter or lost in a crowded inbox, make sure your topic is clear. Include your name and the job title in the subject line of the email message.
- Omit the address paragraphs and date. Instead, include your contact info in your email signature.
- Keep your message concise and to the point. Aim for three well-crafted paragraphs, and consider adding bullet points with your most impressive skills and experience.
- Include an email signature with your email address, phone number, and LinkedIn or portfolio URL.
- Proofread and test your message before sending it. Your message should be free of typos, grammatical errors, and formatting problems. Email yourself a test copy before you send the final draft to the hiring manager.
Review sample cover letters for a variety of circumstances, including a follow-up letter, inquiry letters, job/industry specific sample cover letters, all-purpose cover letters, cold contact, and referral letter samples.
